Performance Contracting is seeking an experienced, highly organized Leadership Group Executive Assistant to provide exceptional administrative and executive support to members of the Leadership Group. This role requires a proactive professional who can anticipate needs, manage competing priorities, protect confidential information, and build trusted relationships with senior leaders and key stakeholders.
The ideal candidate is resourceful, adaptable, and confident working in a fast-paced environment where priorities can change quickly. This individual will serve as a trusted partner to assigned executives while helping ensure the Leadership Group operates efficiently and effectively.
Key Responsibilities
Executive Support
- Provide proactive, high-level administrative support to assigned Leadership Group executives.
- Manage complex calendars, scheduling, meetings, appointments, and competing priorities.
- Anticipate scheduling conflicts and executive needs and proactively identify solutions.
- Coordinate domestic and international travel, including flights, accommodations, transportation, itineraries, and schedule changes.
- Prepare executives for meetings by organizing agendas, materials, presentations, and other necessary information.
- Monitor commitments, follow-up items, and deadlines to help keep priorities moving forward.
- Serve as a professional point of contact between executives and employees, clients, vendors, Board Members, and other internal and external stakeholders.
- Handle confidential business and personal information with discretion and sound judgment.
- Assist with correspondence, presentations, reports, expense management, and other executive-level documentation.
- Provide occasional support outside standard business hours based on executive, travel, or business needs.
Leadership Group Support
- Support Leadership Group meetings through scheduling, logistics, agendas, materials, meeting preparation, and follow-up.
- Coordinate meeting logistics, conference rooms, technology, meals, travel, and other details associated with executive meetings.
- Maintain organized and secure executive records, documents, contracts, and other sensitive materials.
- Assist with Leadership Group initiatives, special projects, and organizational priorities as assigned.
Executive
- Assist with planning and executing Leadership Group meetings, retreats, and other executive events.
- Coordinate attendee registration, travel, accommodations, transportation, activities, meals, meeting spaces, and communications.
- Work closely with hotels, venues, restaurants, transportation providers, and other vendors.
- Develop detailed itineraries and communications to ensure a seamless executive and attendee experience.
- Assist with onsite event support and proactively address changes or unexpected needs.
- Help monitor event budgets, contracts, deadlines, and expenses.
- Process & Team Support
- Identify opportunities to improve efficiency, organization, communication, and administrative processes.
- Share knowledge and best practices with other Executive Assistants and contribute to a collaborative, service-oriented team.
- Provide backup support for other Executives and Executive Assistants as needed.
- Adapt to changing business needs and take on additional responsibilities and special projects as appropriate.
Salary Range: $65,800 - $88,000 annual salary plus non-guaranteed annualized bonus program
Basic Qualifications
- 5+ years of progressive experience providing high-level administrative or executive support, preferably supporting senior executives or C-suite leaders.
- Demonstrated ability to manage complex calendars, travel, meetings, and multiple competing priorities.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Demonstrated ability to anticipate needs, solve problems, exercise sound judgment, and work independently.
- Strong interpersonal skills and the ability to build trusted relationships with executives and stakeholders at all levels.
- Proven ability to handle confidential and sensitive information with discretion.
- Strong proficiency with Microsoft Office, including Outlook, Teams, SharePoint, PowerPoint, and Excel.
- Experience supporting executive meetings, retreats, corporate events, or other high-touch events preferred.
- Ability and willingness to travel as required.
- Ability to occasionally work outside standard business hours based on executive, travel, or event needs.
- Possess and maintain a valid driver's license and driving record that meets company requirements.
