About Loews Portofino Bay Hotel

Join the team at this Italian-inspired hotel that is a re-creation of the seaside village of Portofino, Italy.

Assisting the Executive and departmental Chefs in providing information to cooks, suppliers and other departments. Aids Chefs with the preparation of reports, correspondence, and other relevant information.

Essential Functions and Responsibilities

  • Monitor and maintain daily payroll and time edits, follow up with Team Member payroll issues, coordinate payroll efforts with secondary departments

  • Log and Maintain Banquet Event Orders and Resume Tracking Systems

  • Attend daily line ups, Chef's meeting and Food and Beverage Meetings

  • Take minutes as needed and requested

  • Maintain Team Members files, time log sheets, attendance log sheets and vacation log

  • Ensures proper representation in Meetings and Hotel functions

  • Schedule forecasting, Leadership schedule

  • Maintain and compose departmental reports, develop and maintain filing and tracking systems

  • Develop creative menu design/concepts

  • Lead and organize and facilitate departmental meetings, events, functions, and classes in house or off property

  • Responsible for management of hiring process, staffing, pre-screen, conducts FIT interviews, scheduling Chef/Candidate interviews, maintaining turnover log and organizational chart, applicant tracking, maintain Human Resource Relations

  • Maintaining Recipe bank, typing and recipe design

  • Completing paperwork, Payroll Status and Action Form, Position Requisitions, Vacation Requests, and Check Requests/Expense Reports

  • Assist Executive Steward with light Administrative duties (HR paperwork, signage, etc)

Supportive Functions and Responsibilities

  • Notifies appropriate individuals promptly and fully of all problems and unusual matters of significance

  • Is polite, friendly and helpful to guests, managers and fellow employees

  • Compose departmental reports and memos

  • Maintains cleanliness of excellent condition of equipment and work area

  • Executes emergency procedures in accordance with Hotel standards

  • Complies with hotel and department policies, standards and procedures

  • Remains current on hotel information and changes

Qualifications

  • Minimum 2 years office experience

  • Proficient in MS Word, Excel, Lotus Notes

  • Knowledge of Food and Beverage, Culinary, and Restaurant operations

  • Excellent communication, organization, and guest relations skills

  • Ability to communicate effectively in English verbally and written with team members, leaders and guests required.

  • Able to work a flexible schedule including weekends, holidays and overtime when needed
