Overview

Amyx is seeking to hire an Program Coordinator. to support the Defense Threat Reduction Agency (DTRA) CooperativeThreat Reduction (CTR) Advisory and Assistance Services (A&AS) subcontract in the Lorton, VA area.

Serves as a Program Coordinator to support the Defense Threat Reduction Agency (DTRA) Global Threat Reduction (GTR) Advisory and Assistance Services (A&AS) subcontract in the Lorton, VA area Fort Belvoir or the Noblis Facility CTRON). This position will support the EUCOM, AFRICOM and Global Directorate and requires an on-site presence 5 days per week.

The Department of War (DoW) works cooperatively with allies and partner nations to reduce or eliminate weapons of mass destruction (WMD) threats. The cooperative nature of the DoW's activities yields a secondary benefit of strengthening regional alliances, deepening existing partnerships, and attracting new partners.



Responsibilities

    Supports operational, programatic and administrative needs of the Department, including managing RFI's, RFP's, task management, executive level engagements, department level calendar management, travel coordination, and other administrative and operational actions as requested
  • Provide office support services, including quality document preparation. The contractor shall provide quality assurance of documents and ensure formats are following the DoD correspondence manual and other applicable standards
  • Maintain situational awareness by keeping Leadership informed of relevant organizational events, to include daily/weekly meetings, long-range calendars, key leader engagements, as well as tasks and other due outs
  • Interface and correspond with external executive agencies, to include high level Department of Defense officials, Interagency, international, and Intelligence communities, as well as academia, foreign countries, and the public sector
  • Meets with other Program Assistants and Coordinators to sync daily operations and upcoming events
  • Coordinate all aspects of travel for the Senior Leader, to include local, domestic, and overseas travel using Defense Travel System (DTS) and internal systems
  • Review documents for official signature, coordination, or concurrence, for accuracy and completeness, conformance with style, format, or procedural requirements and guidelines
  • Manage flow of correspondence, classified and unclassified
  • Edit and produce final copies of formal correspondence, correspondence summaries, briefings, reports, and a wide variety of other analytical documents, to include financial spreadsheets, talking points, speeches, and travel itineraries
  • Review and coordinate responses on incoming correspondence
  • Track and distribute track Senior Leader's action items to the appropriate program manager and/or directorate
  • Establish and maintain office files and databases, to include an electronic data files architecture consistent with DoD standards for Records Management
  • Assist with official visitor arrangements, to include preparing conference rooms and setting up video teleconferences (VTC)
  • Coordinate and schedule annual training for Senior Leader
  • Supports onboarding of new employees (Gov/Mil/CTR)
  • Adhere to organizational-wide administrative standard operating procedures, such as attending weekly calendar synchronization meetings, updating contact and alert rosters, contributing to the Senior Leader travel tracker, and, where applicable, updating the organizational-wide master calendar
  • Provide editing support for reports, briefings and memorandums, review documents for official signature, coordination, or concurrence, for accuracy and completeness, conformance with style, format, or procedural requirements and guideline
  • Maintain Sharepoint site with all relevant and updated SOP's, files, user guides, etc.
  • Coordinate meetings, video teleconferencing (VTC) support and other administrative functions
  • Support other duties as required


Qualifications

Required:

  • Ability to work on-site in a classified facility 5 days per week
  • Bachelor's Degree from an accredited university or college
  • Minimum of 7 years of relevant experience supporting DoW senior leadership (Colonel/GS-15 or above), 10+ years for supporting a SES or Flag Officer or the equivalent at another US Government Agency or Department
  • Excellent communication, written, and organizational skills for senior leader interactions
  • Ability to work on multiple projects which includes prioritizing, tracking, attention to detail, follow-up, and follow-through to project completion
  • Skilled in written and oral communications; messages and/or briefings are clear and concise
  • Flexibility/adaptability to work in a fast-paced environment
  • Demonstrated ability to work with confidential and sensitive information
  • Attention to detail, critical thinking and problem-solving skills
  • Active DoW SECRET clearance


Desired Skills and Qualifications

  • Active TOP SECRET / SCI clearance
  • 10+ years relevant experience supporting DoW or other Government Agency or Department's senior leadership (Colonel /GS-15 or above)
  • Ability to work well with a diverse professional staff, take on special projects, take initiative, and work independently with minimal guidance
  • Ability to cope with frequent changes in priorities, as well as interruptions throughout the day
  • Knowledge of Joint Travel Regulations (JTR) and Defense Travel Systems (DTS), Foreign Assistance Review (FAR), Federal Acquisitions
  • Prior experience at DTR
  • Proven Problem Solver
  • Experience with contractor-client relationships
  • Exceptional coordination and management abilities
