This position plays a central operational role in supporting surgical, clinical, and academic functions for the department. The primary focus of the role is managing all aspects of surgical scheduling, securing insurance approvals, coordinating physician credentialing, and overseeing complex Outlook calendar management. The position also handles travel arrangements and expense reporting for the surgeon, leads onboarding activities for new staff, and provides comprehensive administrative coordination for accredited and nonaccredited fellowship programs. This role ensures smooth daytoday operations across patient care, academic programs, and administrative workflows, serving as a key point of continuity and support for physicians, fellows, and departmental leadership.

Essential Functions:
-Performs all surgical scheduling including appropriate tests and other appointments associated with surgical procedure.
-Management of MD/APP independent clinic schedule.
-Entering and scheduling radiology orders for all MD/APP clinics(this could include out of plaster orders).
-Provide phone coverage for provider practice(s).
-In basket management.
-Patient appointment scheduling.
-Responsible for obtaining all required insurance approvals. This includes, but not limited to, all surgical cases, outpatient appointments, outside imaging(i.e. MRI/CT).
-Management of all patient required forms(i.e. disability, FMLA, etc).
-Management of provider Outlook calendar schedule. This includes but not limited to, placing all surgical cases on calendar, coordinating professional meetings and blocking away/unavailable day(s).
-Webfax management.
-Provide cross coverage to other provider practices to meet the business need of the department.
-Mail coordination.

Education
High School Diploma or Equivalent required or Associate's Degree Business Administration preferred or Associate's Degree Related Field of Study preferred

Experience
Experience in an administrative role, preferably in a healthcare setting 5-7 years required and Experience supporting senior-level staff 1-2 years preferred

Knowledge, Skills and Abilities
- Proficient in Microsoft Office Suite (Word, Excel, Power point, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Familiarity with hospital administration processes and healthcare regulations.
- Professional demeanor and ability to interact effectively with all levels of staff.
