Location Requirement: Selected candidates must reside in the US and be located in the Central, Mountain, or Pacific time zones.

What this job involves - The Program Coordinator will be responsible for supporting the planning, execution, and delivery of maintenance and improvement programs across multiple sites. This position requires a strategic, detail-oriented individual with excellent organizational and communication skills who can effectively manage multiple concurrent projects, make sound decisions on quote approvals, and serve as a liaison between clients, vendors, and internal teams.

Your day-to-day tasks will include:
  • Managing mini-projects across up to 40 sites simultaneously, overseeing scope of work from initiation through completion (e.g., flooring replacements, building improvements)
  • Developing project plans, timelines, and schedules for multi-site programs while monitoring progress and reporting on key performance indicators
  • Receiving, evaluating, and approving vendor quotes up to $5,000, applying sound decision-making criteria
  • Managing vendor relationships, coordinating contractor schedules, and processing work orders through Corrigo or similar CMMS platforms
  • Tracking project expenses, maintaining budget oversight, and supporting financial management across multiple concurrent projects
  • Serving as primary point of contact and facilitating clear communication between clients, vendors, team members, and contractors
  • Maintaining accurate and up-to-date project documentation, tracking systems, and managing workload distribution across the team
  • Coordinating project activities across various locations and ensuring tasks are completed on time and within budget
  • Thinking critically to identify process improvements, challenge existing methods, and find innovative solutions to operational challenges
  • Adapting flexibly to changing priorities and client needs while maintaining big-picture perspective during detailed execution
Desired experience and technical skills:

Requirements:

  • Advanced proficiency in Excel and spreadsheet applications for tracking, reporting, and data analysis
  • Basic understanding of project management principles

Preferred:

  • Bachelor's degree in Business Administration, Project Management, or related field
  • Previous experience in project coordination, construction management, or program coordination role
  • Experience with Corrigo or similar Computerized Maintenance Management Systems (CMMS)
  • Knowledge of budgeting, financial tracking, and vendor management
  • Experience managing multi-site programs or projects
  • Certification in project management (e.g., CAPM, PMP)
  • Background in commercial real estate, construction, or church/institutional environments

Estimated compensation for this position:

40,400.00 - 70,700.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
