  • Maintain and improve tools, trackers, templates, and documentation that enable effective change governance and decisionmaking.
  • Track milestones, KPIs, and deliverables to help leaders understand impact, capacity, and readiness across the organization.

Position Description

The Program Coordinator will provide program management support for the programs and initiatives associated with the Strategic Change Office. This includes a focus on processes and management of change initiatives through Enterprise Change Agenda (ECA) and support for transformational initiatives as part of the Strategic Change Office.

This position will work closely with enterprise change leadership, change process leaders, and program managers and will report within the enterprise change organization. There will also be frequent interactions with other stakeholders to ensure smooth process flow and communications by providing comprehensive program support, managing administrative tasks, coordinating activities, and executing certain programs.

Key Responsibilities

General:
  • Provide day-to-day administrative and operational support to the Strategic Change Office
  • Assist in the preparation of reports, presentations, and documentation for internal and external stakeholders, including Executive Team meetings, Change Strategy Workshops, Community of Practice Sessions, etc.
  • Support communication plans for strategic planning and execution.
  • Adapt and contribute to the launch of a new department within UNS with other duties as required.

Strategic Leadership:

  • Work as part of the Strategic Change Office to embed change capabilities across the organization by championing Conscious Change Leadership in interactions with business leaders and supporting change processes.
  • Support the Manager of Enterprise Change in the development and management of multi-year Enterprise Change Agenda process.
  • Prepare or assist with the preparation of materials for Executive Team strategy meetings and other workshops/meetings related to Enterprise Change Agenda.
Process Design:
  • Support and development of the guides used in the enterprise change process, including Master Change Project List Guide, Project Proposal template, New Change Initiative Selection Criteria, Use of Consultants Guide, Cultural Implications Guide and New Initiative Launch protocols.
  • Assist in developing materials and plans for the communications and adoption of new protocols for the Enterprise Change Agenda process and ensure stakeholder engagement and communication

Performance and Impact Measurement:

  • Manage the tools and processes to track key performance indicators (KPIs) for Enterprise Change Agenda success.
  • Work with Enterprise Project Delivery Program Managers to track initiative milestones, deliverables, and timelines of initiatives as part of the Enterprise Change Agenda.
  • Support materials to provide regular updates to executive leadership and the board on Enterprise Change Agenda initiative progress, resourcing and impact.

Program Coordinator I:

  • Provides day-to-day administrative and operational support to the Strategic Change Office using established systems, tools and processes.
  • Assist in the preparation of reports, presentations, meeting materials, and documentation for Enterprise Change Agenda forums and related meetings.
  • Maintain schedules, trackers, documentation, and internal repositories to ensure accurate and timely information.
  • Support coordination activities across change initiatives, including meeting logistics, follow-ups, and status updates.
  • Update KPI dashboards, milestone trackers, and reporting tools under the direction of senior staff.
  • Follow defined enterprise change processes and escalate issues, risks, or data inconsistencies as they arise.
  • Refine and finalize change communication materials.
  • Focuses on accuracy, timeliness, and adherence to established processes.
  • Learns enterprise change governance and practices through hands-on execution.
  • Works under close to moderate supervision.

Program Coordinator Senior:

  • Own the end-to-end coordination of Strategic Change Office initiatives or portfolios, ensuring alignment with the Enterprise Change Agenda.
  • Independently develop executive-ready materials, synthesize information across initiatives, and provide insights to support leadership decision-making.
  • Design, maintain, and continuously improve enterprise change tools, templates, tracking mechanisms and reporting frameworks.
  • Create and maintain change communication materials.
  • Analyze KPI trends, capacity, process, and impact; proactively identify risks, dependencies, and improvement opportunities.
  • Serve as primary point of contact for cross-functional stakeholders, balancing competing priorities and advising on change readiness and sequencing
  • Partner with Manager to evolve multi-year change planning, governance, and execution approaches.
  • Provide guidance and informal mentoring to less experienced coordinators or contributors, as needed.
  • Influences outcomes without direct authority and is accountable for initiative-level results.
  • Completes work with minimal supervision.

Knowledge, Skills & Abilities

(Equivalent combination of education and experience will be considered.)

Level l

Minimum Requirements

  • At least two (2) years' experience in administrative, program support, or coordination type roles
  • Demonstrated proficiency in PC computer skills & applications including spreadsheets, word processing, and presentation software.
  • Must work effectively in a team and possess the ability to work independently.
  • Manages individual projects with guidance or supervision as needed.
  • Requires excellent verbal and written communication skills, public speaking, strong presentation and interpersonal skills are required.

Preferred Requirements

  • Associate's degree
  • Ability to manage multiple priorities and meet deadlines.
  • Strong analytical and problem-solving skills.
  • Experience supporting procurement and contract processes.

Senior

Minimum Requirements

  • At least four (4) or more years as a Program Coordinator
  • Must manage individual projects with minimal to no guidance or supervision.
  • Must manage multiple priorities and meet deadlines
  • Strong analytical and problem-solving skills
  • Ability to support procurement and contract processes.

Preferred Requirements

  • Associate's degree
