Position Summary:

We have an exciting opportunity to join our team as a Project Coordinator.

The Project Coordinator is a key member of the Technology Opportunities & Ventures (TOV) team and plays an important role in advancing the use of artificial intelligence and automation to support operational, financial, and technology transfer activities across the organization.

This role focuses on applying AI tools and workflow automation to improve efficiency, reduce administrative burden, and support data-informed decision making.

The Project Coordinator works closely with cross-functional teams within TOV, and in coordination with DAAIT, to support the design, implementation, and ongoing improvement of applied AI solutions that enhance intellectual property management platforms, finance processes, and other operational systems used across the enterprise.

Job Responsibilities:

  • Design and implement a
  • pplied AI tools and workflow automations that support operational processes across intellectual property management, finance operations, and technology transfer activities.
  • Configure and maintain AI-enabled workflows that leverage operational and financial datasets to automate routine administrative tasks and improve process efficiency.
  • Collaborate with TOV leadership, operational teams, and DAAIT partners to translate business needs into practical AI-enabled solutions.
  • Support the deployment, monitoring, and continuous improvement of AI tools and automation workflows, identifying opportunities to enhance reliability, performance, and operational impact.
  • Troubleshoot system issues, monitor solution performance, and coordinate with enterprise platform teams to maintain system functionality and availability.
  • Maintain documentation and inventory of deployed AI tools, workflows, and related operational systems.
  • Coordinate and track AI initiatives across TOV, supporting project planning, prioritization, and execution in alignment with institutional goals.
  • Partner with teams across Finance, Contracts, Business Development, Research Administration, and other corporate functions to identify opportunities where AI can improve operational efficiency.
  • Support the development of training materials, documentation, and internal resources to help staff effectively utilize AI tools and automation workflows.
  • Facilitate training sessions, demonstrations, and workshops to encourage responsible and effective adoption of generative AI tools across the organization.
  • Ensure AI tools and workflows align with institutional data governance, privacy, and security requirements, including applicable healthcare regulations and internal policies.

Additional Position Specific Responsibilities:

Support continuous improvement of AI workflows and automation systems aligned with TOV innovation initiatives.
Contribute to evolving engineering best practices for applied AI delivery within enterprise environments.

Minimum Qualifications:

To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications.
Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:

Experience working with LLMs, prompt engineering, and AI automation tools
Familiarity with enterprise platforms such as Databricks, Azure AI Foundry, or workflow orchestration tools
Experience with data processing and analytics tools such as Pandas, NumPy, and SQL, Databricks.
Understanding of software engineering principles including version control, testing, and debugging.
Strong communication, collaboration, and problem-solving skills.
Demonstrated ownership mindset and willingness to learn emerging AI technologies.
Proficiency in Python and common machine learning libraries such as TensorFlow, PyTorch, Scikit-learn, or similar.
Experience or familiarity with agentic AI frameworks, workflow orchestration, or intelligent automation platforms is a plus.
Experience integrating AI solutions with enterprise finance, intellectual property, or operational systems is a plus.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,299.99 - $80,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
