*Mail & Distribution Services Specialist* *Schedule:* Monday-Friday, 8:00 AM-5:00 PM
*Position Overview* The Mail & Distribution Services Specialist is responsible for operating highvolume mail and finishing equipment, processing incoming and outgoing materials, and supporting a wide range of document, shipping, and fulfillment activities. This role requires strong attention to detail, the ability to follow documented procedures, and the capability to work efficiently in a fastpaced, highvolume environment. *Essential Functions* * Operate highspeed mail equipment, including inserters, sorters, and finishing machines. * Perform packaging, posting, and productionlevel mail preparation. * Complete chargeback reporting for postage, deliveries, and fax services. * Perform mail labeling, mail merges, and address cleanup tasks. * Coordinate automated and manual finishing processes for client materials. * Maintain distribution and tracking systems for mail and packages. * Update and maintain mailing address information using internal software. * Conduct barcode and address quality reviews. * Manage electronic input, packaging workflows, and posting activities. * Recommend workflow improvements to enhance efficiency and reduce costs. * Serve as the primary contact for special or unique mailings. * Use materialhandling equipment as needed. * Receive, sort, and process incoming mail, packages, and supplies; notify recipients. * Deliver and pick up mail on scheduled routes. * Record and maintain logs for accountable mail. * Track, trace, and resolve delivery issues with carriers. * Prepare outgoing mail and packages and coordinate pickups. * Perform quality checks on all outbound materials. * Validate internal addresses and perform barcode lookups. * Use standard mail services including fax, express delivery, and postal services. * Complete shipping forms or enter shipment details electronically. * Perform finishing tasks such as folding, inserting, and assembly. * Open, prepare, scan, and distribute electronic mail. * Assemble, package, ship, and track fulfillment materials. * Follow all mailroom security procedures. * Scan and track incoming mail and packages. * Log, transmit, receive, and distribute faxes. * Use automated systems for shipping and receiving. * Monitor, order, and replenish supplies for mail and distribution operations. * Send and receive email communications. * Arrange alternative courier services when needed. * Operate, clean, and maintain all mail and shipping equipment. * Contact service providers when equipment requires maintenance. *Skills & Competencies* * Ability to lift and move up to 50 pounds. * Ability to read, write, and follow written instructions. * Intermediate computer and internet skills, including downloading files, completing online forms, and performing mail merges. * Intermediate proficiency with wordprocessing, spreadsheet, and presentation software (tables, formulas, charts, formatting). * Ability to locate and use networkconnected devices such as printers and shared drives. * Ability to send/receive email, save files, and perform accurate data entry. * Basic math skills including division, multiplication, and percentages. * Professional communication and customer service skills. * Ability to manage multiple tasks and work with minimal supervision. * Ability to estimate and schedule mailing jobs, including time and workflow planning. * Ability to train and mentor team members. * Working knowledge of document conversion, file preparation, and digital workflows. * Ability to operate mail and finishing equipment after training. * Ability to determine appropriate packaging methods based on job requirements. * Ability to walk multiple floors and operate basic materialhandling equipment. *Experience* * 1-2 years of experience with mail operations or mailroom equipment preferred. *Education* * High school diploma or equivalent required. * Additional technical training preferred. *Job Type & Location* This is a Contract position based out of Nashville, TN. *Pay and Benefits*The pay range for this position is $18.34 - $21.62/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
