Position Description

The Human Resources department at Cold Spring Harbor Laboratory is seeking a detail-oriented Benefits Analyst to join our team. In this role, you will support the Senior Benefits Manager in administering the Laboratory's health and welfare programs, including workers' compensation. You will play an important part in ensuring the smooth delivery of benefits services, supporting compliance and operational efficiency, and contributing to a positive employee experience across the organization.


Position Responsibilities

  • Conduct benefit orientation sessions as part of weekly new employee orientations, Student in Residence benefit orientations as scheduled, and annual CSHL Graduate Student orientations.
    • Update and maintain orientation presentation slides and links to Intranet.
  • Administer employee and student benefits enrollments and life event changes.
    • Review enrollments in Lawson, eligibility documents, dependent documentation.
    • Calculate pro-rated catch-up and/or reimbursement deductions, notify employees and payroll.
    • Track missing or pending items. (evidence of insurability, pending beneficiary forms, etc.
    • Send weekly reminders to employee's regarding last day of eligibility if they have not made elections.
    • Request medical insurance waiver forms as indicated.
  • Administer Workers' Compensation.
    • Obtain Security Reports, Wellness Center Reports, and Employee Statements.
    • Obtain Witness Statements if available.
    • Ensure timely filing and coordination with carrier, supervisor, Benefits Manager, and Payroll.
    • Track injury and lost time.
    • Prepare reports for EH&S.
    • Correspond with employee re: workers comp process, claim information, and payment.
    • Complete and submit required NYS WCB forms including those related to change in status, statement of wage earnings, and reimbursement of wages.
    • Calculate missed wages and coordinate with Senior Benefits Manager and Payroll regarding salary continuation benefit.
  • Administer Daycare enrollments and payroll deductions.
    • Process Enrollments, withdrawals, annual increases.
    • Calculate prorated pre- and post-tax payroll deductions.
    • Calculate and communicate annual increases and coordinate with child care center, payroll, and finance.
  • Manage dependent eligibility audits dependents aging out of medical/dental/vision plans at age 26.
    • Run report from Lawson and sort to identify dependents aging off health insurance.
    • Review report monthly and offer COBRA to dependents who are no longer eligible by entering in United Health Benefit Services (UHBS) to generate election form.
    • Update employee enrollments in Lawson.
    • Notify employees and provide process for implementing payroll deductions for dependent's COBRA premiums if elected. If elected and payment is made, add to Lawson.
    • Monitor monthly payment status and update Lawson and notify payroll of any changes.
  • Conduct monthly dental student verification process for dependents turning age 22, and yearly process every August.
    • Review report monthly.
    • Request student documentation and offer COBRA to dependents who are no longer eligible by entering in United Health Benefit Services (UHBS) to generate election form.
    • Update employee enrollments in Lawson.
    • Notify employees and provide process for implementing payroll deductions for dependent's COBRA premiums if elected. If elected and payment is made, add to Lawson.
    • Monitor monthly payment status and update Lawson and notify payroll of any changes.
  • Responsible for measurement of the ACA 30 hours requirement for part-time, seasonal, and temporary employees,
    • including calculating standard and individual measurement periods, rehires, and status changes.
    • Perform annual and monthly review of report for eligibility, offers of coverage, enrollments, and waivers.
    • Offer Seasonal plan as indicated.
    • Update Lawson to generate 1095.
  • Research employee benefits inquiries by using Lawson, plan documents, and HR policies and respond to employee by email, phone, or in-person and reach out to carriers as needed
  • Maintain Benefits Intranet pages, benefits information on external website and Post Doc and non-Post Doc applicant benefits pages.
    • Review and update content as necessary including benefit changes, policy changes, and open enrollment updates.
  • Curate content for weekly communications regarding upcoming benefits-related events and for Spotlight on Benefits
  • Audit and prepare benefits invoices for Chubb Workers' Compensation Insurance.
  • Audit and prepare the following invoices for payment: MetLife Legal Plan, Nationwide Pet Insurance, Optum EAP, Health Equity/WageWorks in absence of Benefits Manager.
  • Run BN100 report to audit benefit date and coverage changes that are automatically made to benefits after being hired, annual review, promotion, reduction in hours, termination, etc. in absence of Benefits Manager
  • Run COBRA enrollment and notification reports on a weekly basis.
    • Make enrollment and termination changes in Lawson and notify payroll as applicable.
  • Assist in the coordination of benefit wellness seminars, workshops, and benefit fairs.
  • Request and process Domestic Partner recertification during new hire and open enrollment and advise payroll of any changes to pre and post-tax payroll deductions
  • Quarterly follow-up with employees listed on the Bungtown Audit Report
  • Travel Assistance - obtain and provide travel documents from United Healthcare and AIG
  • Other duties as assigned

Position Requirements

EDUCATION: Bachelor's Degree

EXPERIENCE: A minimum of 5 years of experience administering Health and Welfare and Retirement plans

OTHER: CEBS designation preferred

Compensation and Benefits
