Job Summary

Compiles, monitors, analyzes, and reports on budgetary performance, including budget variances of areas of responsibility.

Performs budgetary transactions, including Journal Vouchers, Smart Bills, and ID Transfer Journals, and ensures records are current and accurately filed.

Serves as a Procurement Card and Foundation Card approver/back-up approver for the division. Assures compliance and adherence to University and Foundation Credit Card policies and procedures. Maintains records of Procurement and Foundation Card receipts for assigned cardholders.

Reviews all expense reports to ensure accuracy, that reimbursements follow state and/or University and Foundation guidelines, policies, procedures, and compliance with budget. Processes staff travel authorizations and expense reimbursements as needed.

Provides advice and technical assistance to University Advancement staff on financial issues in accordance with both University and Foundation procedures. Assists in the preparation of the annual budget packages.

Assists in the development of new business proposals, including pricing structure of revenue generators, cost estimates, and capital requirements. Prepares the necessary procurement documents and manages payments as needed.

Coordinates with the Associate Director to create and execute inter-departmental transfers and deposits. Runs encumbrance reports to ensure timely payment.

Assists with reviewing and maintaining financial tracking systems (e.g., spreadsheets for transaction logs, payment trackers) to monitor expenses.

Oversees the financial reconciliation process for the Direct Supported Organization (DSO); investigates and resolves complex payment discrepancies, vendor invoicing issues, and interdepartmental transfers.

Supports the Advancement Finance and Administration team with other projects as needed.

Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.



Minimum Qualifications

Bachelor's degree in a related field and one (1) years of relevant experience.



Desired Qualifications

Highly proficient in Microsoft Excel, including the ability to build financial models, manipulate large datasets, and utilize advanced functions (e.g., XLOOKUP, Pivot Tables, index/match, and complex conditional formatting).

Prior experience working within a university, non-profit, or Direct Support Organization (DSO) financial environment.

Experience utilizing higher education advancement databases and CRMs (e.g., Blackbaud Raiser's Edge, Salesforce) to reconcile donor gift data with financial accounting systems.

Proven experience conducting monthly and quarterly budget-to-actual variance analysis, including writing clear narrative summaries to explain financial discrepancies.
