| Essential Job Duties |
The Logistics & Procurement Specialist manages the end-to-end supply chain for the NC State Veterinary Hospital. This hybrid role combines technical procurement and financial integrity with physical logistics and inventory management. The specialist ensures clinical services are stocked with essential medical supplies, manages specialized medical implants, and maintains seamless loading dock operations across multiple hospital facilities.
Primary Duties & Responsibilities
1. Procurement & Purchasing
Order Management: Verify purchase requisitions by comparing requested items to inventory reorder reports and initiate purchase orders (POs) by verifying specifications and pricing. Vendor Relations: Communicate daily with suppliers to monitor and expedite orders, resolve shipment errors, and source suitable replacements for backordered items. Clinical Consultation: Notify the VH community of significant price increases (10% or higher) and coordinate with leadership on inventory fill-rates and cost-saving measures. Financial Integrity: Reconcile pricing discrepancies and manage monthly account statements to ensure invoices are paid in a timely manner.
2. Shipping, Receiving & Logistics
Cyclosporine Implant Management: Process VH Report Group Reports for implant orders and handle the packaging and shipping of implant orders. Implant Inventory: Manage implant inventory levels by communicating with the CVM implant team regarding needs and recording all data within the ezyVet system. Daily Dock Operations: Manage the receipt of packages from all carriers (UPS, FedEx, etc.), confirming accuracy against delivery manifests and logging details into Qtrak tracking software. Specialized Handling: Ensure the proper receipt and transport of perishable, refrigerated, or infectious items, including veterinary diagnostic samples and cadavers. Internal Distribution: Deliver packages, mail, and pulled orders to addressed individuals or services within the Terry Center, Health & Wellness (H&W), and Large Animal (LA) Hospitals. Loading Dock Support: Provide backup support to the 1060 loading dock for shipping and receiving operations as operational needs require. Equipment Operation: Safely operate heavy equipment such as forklifts, pallet jacks, and box trucks to move oversized assets or laboratory equipment.
3. Inventory Control & Records Administration
System Management: Execute the full receiving process in the ezyVet inventory system, entering manufacturer lot numbers, expiration dates, and closing out POs. Stock Maintenance: Perform physical inventory cycle counts and rotate stock to ensure soon-to-expire items are used first. Organization: Maintain organized distribution bins and ensure clinical areas receive requested items promptly.
Other Duties as Assigned
Hybrid Flexibility: This position is a hybrid, flexible role designed to support the shifting needs of the hospital's supply chain. Cross-Departmental Support: The employee may be asked to assist in other areas or positions within Central Supply or perform logistics duties at the 1060 Loading Dock as needed. Operational Adaptability: Responsibilities include performing any other duties as assigned by management to ensure the operational readiness of the Veterinary Hospital.
Essential Job Qualifications
Physical Requirements: Ability to lift up to 50 pounds consistently and 100 pounds with assistance. Stamina: Capacity to stand and walk for long periods and withstand exposure to variable temperatures at loading docks.

Qualifications
| Minimum Experience/Education |
High school diploma or equivalency. |
| Preferred Qualifications |
- Experience using inventory and tracking software, specifically ezyVet and Qtrak.
- Proficiency in Google Drive for documentation and collaboration.
- Previous work experience in Shipping and Receiving, Materials Management, or a related stockroom environment.
- Experience working within a veterinary hospital or human healthcare facility environment.
