Here's what we're looking for.

• 1-3 years of administrative or construction office experience preferred
• Experience in architectural millwork, construction, or manufacturing is a plus
• Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP or project management software is a plus
• Strong organizational skills and attention to detail
• Ability to manage multiple deadlines in a fast-paced environment
• Strong written and verbal communication skills
• Team-oriented with a proactive mindset
• Ability to maintain confidentiality with financial documentation

The Day-to-Day

Submittals & Documentation

• Prepare, compile, and track shop drawing and material submittals for client and architect review
• Coordinate with project managers, estimators, and drafting teams to gather required documentation
• Maintain submittal logs and ensure timely follow-up on approvals and revisions
• Distribute approved drawings and revisions to production and field teams
• Maintain organized digital and physical project files

Billing & Administrative Support

• Assist in preparing progress billing packages based on contract terms
• Collect and organize supporting documents (approved change orders, delivery tickets, time logs, etc.)
• Track project billing schedules and notify project managers of upcoming deadlines
• Coordinate with accounting to ensure accurate invoicing
• Assist with lien waivers and closeout documentation as required

Production Support

• Help track production schedules and material deliveries
• Communicate internally regarding status of submittals and approvals
• Support coordination between shop floor, project management, and accounting
