Job Description




As a Security Officer - Front Lobby Desk in Milpitas, CA, you will serve and safeguard clients in a range of industries such as Logistics & Distribution, and more. As a Front Desk Officer at a busy logistics and distribution location, you will welcome visitors, manage access control and badging, answer phones, and monitor lobby activity while documenting security-related observations. You will be a key point of contact for employees and drivers, delivering strong customer service and clear communication. Role Overview
The Badging Administrator supports the client's global badging program by managing badge operations, access systems, onboarding coordination, and compliance with security policies. This role plays a key part in enhancing the new hire experience, maintaining accurate records, and supporting security operations across global locations.
Key Responsibilities
Global Badging Program Management
    Manage and support the client's global badging program.
  • Operate and maintain the electronic badge access system and associated databases.
  • Ensure global badging hubs process badges in accordance with client policies and procedures.
  • Export badging supplies to global badging hubs as required.
Onboarding & Access Control
  • Coordinate with Human Resources, vendor onboarding teams, and security operations to onboard new hires and suppliers.
  • Create, photograph, print, and distribute employee and supplier badges globally in accordance with client procedures.
  • Update, activate, and deactivate badge access in compliance with client policies and procedures.
  • Work collaboratively to improve the overall new hire experience.
Records, Reporting & Compliance
  • Maintain accurate records, logs, and personnel files.
  • Maintain statistical and KPI-related data regarding the global badging program.
  • Review and present KPI data quarterly to ensure program expectations are met.
  • Identify program gaps or failures and provide recommendations for improvement.
Reception & Team Oversight
  • Oversee the receptionist team by:
    • Providing guidance, coaching, and instruction
    • Reviewing lobby procedures and training guides semi-annually
    • Updating documentation as needed to reflect current practices
Communication & Technology
  • Utilize technology extensively, including badge systems, databases, telephone, and email.
  • Operate PBX phone systems as needed.
  • Deliver professional, customer-focused service while interacting with employees, suppliers, and management.
Emergency Response & Security Support
  • Serve as a member of the security response team during emergencies.
  • Notify, assist, and direct emergency personnel as required.
Additional Duties
  • Perform other duties as assigned to support security and business operations.
Minimum Requirements / Qualifications
  • Previous security experience preferred.
  • Previous badging and/or receptionist experience.
  • High school diploma or GED required.
  • Valid and clean DMV record.
  • Ability to read, write, and clearly speak English, including effective communication with all levels of client management.
  • Proficiency with computers, including typing and Microsoft Office applications.
  • Strong customer service skills with a professional demeanor.
  • Ability to operate a PBX phone system.
  • Flexibility and adaptability to organizational and procedural changes.
