The USC Office of Cultural Relations and University Events is seeking a Reservations Coordinator to join its team. This individual will facilitate guest registration processes for a wide array of university events, serving as the primary point of guest contact for phone and email correspondence, managing the Reservations phone line and central email inbox, and ensuring that check-in processes run smoothly on-site at events taking place both on and off-campus.

The Reservations Coordinator's role is to work closely with event producers, on invitee lists and invitations, upload and send event information, manage guest lists as invitees RSVP, manage student employees and run iPad check-in processes at events. This individual must feel comfortable speaking with high profile university guests, maintain professionalism in all correspondence, work well under pressure and maintain a friendly, professional attitude among guests, clients, and coworkers.

The Office of Cultural Relations and University Events produces events that maintain a centralized standard of excellence, quality and protocol for the Office of the President, the Senior Vice Presidents, University Communications, the USC Alumni Association, USC Associates, deans and development officers, by creating favorable environments for donors and friends of USC and enhancing the prestige and goodwill of the university. Our reservations team ensures that guests receive the highest level of customer service, beginning with registration by phone, web, or mail.

This role reports to the Reservation Services Manager and is a flexible hybrid position with 3 days on-site at the University Park Campus and 2 days remote. As events often require evening and weekend availability, this hourly position is eligible for overtime.

Minimum Qualifications

  • BA preferred

  • 2 years of experience in events, customer service, and data management

  • Demonstrated proficiency in written and oral communications.

  • Ability to manage multiple projects, events, and deadlines effectively.

  • Comfortable working independently and collaboratively in a team setting.

  • A sense of "protocol" and ability to work with top-level executives.

  • Proficient in Microsoft Excel

  • Familiar with Mac computers and iPads

Preferred Qualifications

  • Proficient in Salesforce and Marketing Cloud

  • Required: Resume and cover letter

  • Optional: Reference letter

The hourly rate range for this position is $22.01 - $28.12. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.


Minimum Education: Associate's degree, Combined experience/education as substitute for minimum education
Minimum Experience: 2 years
Minimum Field of Expertise: Secretarial or specialized clerical, including some administrative experience.
