SUMMARY:

The Ambulatory Clinic Patient Flow Coordinator reports to the Practice Manager of the Rhode Island Hospital Center for Primary Care. The Ambulatory Clinic Patient Flow Coordinator manages the movement of patients, staff, and resources within an outpatient clinic to ensure efficiency, minimize wait times, and optimize the use of space and personnel.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Provides real-time oversight of Exam Room Utilization.

Serves as the central point of contact between physicians, nurses, administration, and support services (social work, pharmacy, etc.) to facilitate smooth operations.

Uses data and analytics to identify bottlenecks and improve clinic efficiency, aiming to reduce service delays and maximize provider productivity.

Coordinates staffing assignments and provider schedules with management to proactively identify capacity challenges and bottlenecks, monitor exam room utilization and ensure that necessary resources and staff are available for patient care

Identifies opportunities for process improvement and helps implement solutions to streamline operations and reduce inefficiencies.

Monitors room turnover time, including the timeit takes to clean and prepare an exam room for the next patient after the previous patient has left.

Participates in and Conducts Daily Staff Huddles: Holds brief, focused team meetings (huddles) at the start of the day to review the schedule, identify potential issues (e.g., complex patients, anticipated high volume), and plan for smooth operational flow.

Informs Patients of Delays by using clear signage, screens, or personal messages to communicate expected wait times or delays.

Standardizes Exam Room Setup by ensuring that all exam rooms are stocked and organized in a consistent manner so that providers and staff can quickly find necessary supplies and reduce visit time constraints.

Attends meetings/workshops as they relate to current position and office workflows.

Enters Safety Nets to address unit safety concerns.

Assists in Environment of Care Rounds, and places work orders as necessary to comply with hospital and regulatory safety requirements.

Participates in unit staff meetings and assists in maintaining communication boards.

Performs other miscellaneous job-related duties as assigned.

EDUCATION:

Associate degree in related field preferred.

EXPERIENCE:

Minimum of five (5) years of related work experience required.

Effective communication and interpersonal skills.

Ability to use critical thinking and problem-solving techniques.

Strong understanding of clinic operations.

Robust leadership and teambuilding skillsto foster collaboration among staff and drive process improvements.

SUPERVISORY RESPONSIBILITY:

None.

Pay Range:

$18.13-$29.90
