Overview
This is a hybrid position based in Redmond, WA. It will be onsite ad hoc only (possibly a few times a month). It will start as a 5 month engagement that could extend up to 18 months. We are seeking a highly motivated and detail-oriented individual to join a pivotal operations team. The role will have a range of responsibilities including communication support aligned with COO milestones, tracking deliverables, and executing ROB and ROC activities. The role will support regular meetings such as weekly leadership team meetings, monthly culture v-team sessions, and Town Halls, alongside initiatives like AI Acceleration and Listening Circles. Budget inquiries and forecasting support are included, as well as managing culture initiatives, organizational assets, and event support for leadership offsites and executive visits scheduled through the balance of the fiscal year. - Facilitate seamless communication channels across various business units and project teams.
- Manage and organize critical project communications, data, and business metrics, tracking key milestones and deliverables.
- Analyze and review contractual documents, cost proposals, and supplements.
- Develop, document, and continuously improve business processes.
- Structure and organize projects with clear work breakdown frameworks.
- Monitor and manage project budgets, tracking expenditures and ensuring financial controls.
- Support the running of organizational rhythms and business reviews.
- Prepare essential meeting materials and manage follow-up actions.
- Oversee budgets, assets, presentation materials, and operational frameworks.
- Contribute to future-year strategy planning initiatives.
Must-Have Qualifications
- Bachelor's degree in business management, economics, finance, accounting, or a relevant field.
- 2-4 years of professional experience in an operational or analytical role.
- 2-4 years of experience with Project Management.
- 2-4 years of experience in Business Operations.
- 2-4 years of exprieence in Organizational Communications.
- Exceptional verbal and written communication skills, with a keen eye for detail.
- Demonstrated customer service and strong interpersonal skills.
- Ability to work independently and manage time effectively across multiple priorities.
- Solid understanding of business and management principles, including strategic planning, resource allocation, and production methods.
- Aptitude for applying accounting and mathematical principles as needed.
- Proven ability to analyze business trends and project future revenues and expenses.
- Proficiency with spreadsheet software and data analysis tools.
- Comfortable using AI tools for faster analysis and insights.
- Prepared to discuss examples of coordinating business rhythms, analytics, project tracking, and executive-level operations during the interview process.
Nice-to-Have Qualifications
- Experience operating within an executive office or corporate environment.
- Demonstrated career progression from a coordinator to higher-scope operations roles.
- Experience handling business rhythms, operations, and stakeholder support at scale.
- Strong analytical capabilities and comfort with various data analysis and project tracking tools.
