Description
Summary: The HR Coordinator provides essential administrative and coordination support to the Human Resources team, ensuring accurate execution of HR processes across employee records, HR systems, benefits administration, compliance documentation, vendor invoicing, and employee engagement initiatives. This role is highly detail-oriented and process-driven, serving as a key support function to HR Generalists, Benefits, Payroll, Safety, and Accounting.
The HR Coordinator is responsible for maintaining data accuracy, meeting recurring deadlines, supporting audits, and ensuring a consistent employee experience through reliable HR operations. What You'll Be Doing: HRIS, Systems & Data Management
- Maintain and update employee records in the HRIS (UKG), including hourly employee data, incentive categories, photos, status changes, and benefit classifications.
- Assist with user access and administration across HR systems and platforms, including benefits vendors, ReqLogic, DocuWare, Smartsheet, Novasign, Canva, Thnks, and shared HR inboxes.
- Run recurring HR reports (terminations, status changes, temp usage) and distribute as directed.
- Audit HR data for accuracy and escalate discrepancies to HR leadership or Generalists.
Benefits & Leave Administration Support
- Coordinate benefit onboarding checklists and maintain employee benefits folders.
- Verify benefit eligibility, classifications, and elections in Benefits Hub and vendor portals.
- Track dependent documentation and follow up with employees as needed.
- Monitor benefit ID card issuance timelines for medical, dental, and vision plans.
- Support leave administration by preparing and sending FMLA and non-statutory leave packets, tracking due dates, issuing follow-ups, and filing returned documentation.
- Assist with Short-Term Disability employer packets and carrier submissions.
- Support benefit and 401(k) audits under the direction of HR leadership.
Employee Records & Compliance Administration
- Manage the HR email inbox and route inquiries appropriately.
- Maintain employee documentation, including personnel files, badges, and compliance records.
- Upload and organize employee photos and documentation in HR systems and shared drives.
Vendor, Invoice & Administrative Coordination
- Review and process invoices related to staffing agencies, background checks, benefits, wellness programs, employment advertising, and recognition initiatives.
- Allocate invoice charges by division and submit documentation through ReqLogic or to Accounting as required.
- Audit staffing agency invoices to ensure all temporary employees are active and accurately reflected in the HRIS.
Employee Engagement, Recognition & Wellness Support
- Coordinate employee recognition and referral programs, including gift cards and Thnks administration.
- Assist with wellness initiatives, committee coordination, and ambassador activities.
- Create and publish employee communications, spotlights, and calendars using Canva and Novasign.
- Support company celebrations, anniversaries, and internal recognition events.
Reporting, Meetings & Project Support
- Take notes during HR meetings and update trackers and project plans in Smartsheet.
- Maintain recurring HR calendars for birthdays, anniversaries, and deadlines.
- Support HR projects, including orientation coordination, process improvements, recognition program expansion, and administrative safety initiatives.
- Identify opportunities to improve efficiency and standardization within HR administrative workflows.
General HR Support
Prepare HR reports and presentations
Coordinate training sessions and workshops
Support HR projects, Executive Administrative Assistant, and initiatives as needed
