Vendor & Contract Coordinator - R&D

Job Summary

The Vendor and Contract Specialist supports Research and Development operations by coordinating vendor contracts, processing invoices, and ensuring compliance with applicable regulatory and ethical standards. This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with internal stakeholders and external vendors to maintain accurate records, resolve payment issues, and support procurement and operational activities.

Job Responsibilities




  • Process invoices from external vendors, review details with project leads, and coordinate payment authorization.



  • Utilize contract and payment processing systems, including Coupa, to support vendor and contract management activities.



  • Draft, submit, and track vendor contracts in collaboration with Ethics and Compliance teams across multiple geographies to ensure regulatory adherence.



  • Submit review requests and coordinate institutional review board approvals when required.



  • Partner with Procurement to resolve payment issues, including discrepancies related to vendor banking information.



  • Receive and review Human Factors Engineering impact assessment requests related to change controls, complete assessments when required, and track prioritization for review.



  • Collaborate with cross-functional team members to evaluate vendor capabilities, onboard new vendors, and maintain accurate supplier records.



  • Support broader Research and Development operations by assisting with the ordering of supplies and equipment as needed.




Job Requirements




  • Strong interpersonal, written, and verbal communication skills.



  • Ability to collaborate effectively, make sound decisions, and solve problems with minimal supervision.



  • Proficiency with Microsoft Office applications.



  • Demonstrated ability to identify process gaps, recommend solutions, and support implementation of improvements.




Education




  • High school diploma or equivalent required.



  • Bachelor's degree or some college coursework preferred.




Work Experience




  • Three to five years of experience in vendor coordination, contract management, or a related role.



  • At least five years of experience supporting technical teams, preferably within a research and development or regulated product environment.
