New Avenues for Youth seeks a dedicated and compassionate Executive Administrator to Leadership & Development to join our team. As an Executive Administrator to Leadership & Development, you'll be supporting staff serving as a consistent and intentional guide for youth navigating difficult paths. Your skills and experience will provide the assistance needed for these direct service staff to maximize their time engaging with the young people that we serve. Join New Avenues and... What You'll Do: * Provide Executive & Administrative Support: o Manage complex scheduling and calendars for the Executive Director and Director of Development & Communications. o Support daily administrative tasks including reception, phone and email management, clerical work, meeting coordination, supply ordering, and general office operations. o Assist with special projects and research as assigned. o Maintain confidentiality and handle sensitive information with professionalism. * Support Board & Committee Operations: o Prepare for board and committee meetings, including scheduling, agenda development, material preparation, logistics, attendance tracking, and meal coordination. o Take and distribute accurate meeting minutes. o Support the flow of communication with board members and key volunteers. * Support Development & Communications Activities: o Assist with stewardship activities, donor communications, and data entry. o Greet visitors, donors, and volunteers in the Administrative Office and help connect them to appropriate staff or needs. o Provide support during special events, volunteer activities, and in-kind donation coordination. o Assist with basic website or social media tasks as needed. * Ensure Smooth Office Operations: o Manage agency-wide email and phone routing and maintain a welcoming front-office presence. o Organize storage spaces and complete errands for event supplies, materials, and agency needs. o Support departmental budget processes through basic data entry, Concur reconciliation, and credit card receipt tracking. Qualifications: * Two or more years of experience serving as an executive administrator support in a fast-paced, professional environment; nonprofit or executive-level support experience preferred. * Strong organizational, communication, and interpersonal skills with high attention to detail. * Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines. * Experience supporting meetings, preparing materials, and taking accurate minutes. * Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software platforms. * Ability to work both independently and collaboratively and to communicate effectively with staff, volunteers, donors, and board members. * Ability to maintain confidentiality, use sound judgment, and handle sensitive information with discretion. * Commitment to equity, inclusion, and working collaboratively across lines of difference.
