The Internal Support Specialist is responsible for maintaining Jel Sert's sample room and supporting multiple internal departments by preparing, organizing, and shipping product samples, mailers, and trade show materials. This role serves as the primary point of contact within the Customer Service department for all outgoing shipment requests, ensuring timely and accurate delivery through FedEx and UPS. The position also provides general office and special project assistance to other departments as needed.

This position will require the employee to work overtime as needed. Overtime is scheduled based on individual job responsibilities and the department's needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.




  • Handle all aspects of packing and shipping as deemed necessary, on a priority basis, as requests from internal and external customers are received. These requests may include finished goods, sample kits, owner kits, goodie bags, or new hire boxes.



  • Maintain an up-to-date sample room of current finished goods, which includes ordering, receiving, and stocking of new products.



  • Coordinate packaging, documentation and preparation of all small package shipments.



  • Coordinate with Marketing to process trade show orders timely and accurately.



  • Inventory control and monthly cycle counts of sample inventory and shipping bins.



  • Maintain storage room for archived orders & BOL's and offsite storage facility excel log sheets.



  • Coordinate all offsite storage activities, including collecting boxes from departments, preparing and palletizing shipments for the offsite storage provider, completing required internal and external documentation, and requesting box retrievals from the storage company as needed.



  • Manage document lifecycle processes, including reviewing records to determine appropriate destruction dates, securing departmental approval for document destruction, and ensuring compliance with company policies and retention requirements.



  • Assist Customer Service with order documentation and entering and filling DSM sample orders.



  • Entering and filling Employee Orders as received.



  • Assists in the distribution of packages received for various departments, ensuring timely delivery and maintaining accurate logs.



  • Provide support to the Human Resources department with special requests, while also serving as a backup to the Office Coordinator by assisting with various tasks as needed.



  • Other duties as assigned.





QUALIFICATIONS

  • At least one year of office experience is required.



  • Must be willing to work in a team-based environment.



  • Must be able to work with limited direct supervision.



  • Detail-oriented, good organizational skills, with the ability to prioritize projects and tasks.



  • Good communication skills in the English language, Bilingual Spanish is a plus.



  • Ability to meet deadlines and must also deal with a wide variety of people on various issues.



  • Strong problem-solving and critical thinking skills.



  • Excellent follow-up skills.



  • Works well under pressure.



  • Provide excellent customer service to all internal and external customers.



  • Computer-literate and able to work in various systems.



  • Experience with FedEx and UPS preferred.



  • High School diploma required.





SALARY & BENEFITS

The Jel Sert Company is committed to pay transparency and will provide further compensation information during the interview process. The minimum compensation for the Distribution Associate is $21.25 per hour. Compensation is determined by a candidate's experience, education, skills, training, and the internal equity within our organization. The actual compensation to be paid will be determined upon receipt of an offer.
