The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director of Operations Management, this part-time position will work closely with the Director and Manager of Operations to support all operational activities. The Coordinator will be the first point of contact for internal and external customers seeking support and information from the Facilities organization of the Mailman School. The Operations Management Coordinator will provide administrative support including but not limited to: Work Order coordination, Security badge and access assignments, database management, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services for the divisional staff. Additionally, the Operations Management Coordinator, under the supervision of the Operations Manager, will manage all outside contractors in support of the Operations Management Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.

Tuesday, Wednesday and Thursday (9am-5pm) 21 hours a week.

Responsibilities



  • Support the school's renovation projects and its facilities operations. Communicate with contractors, construction and in-house personnel. Escort and direct these personal as needed in completion of their tasks. Update facilities related documents as necessary (floor plans, room access, etc.). Responsible for responding to unexpected issues and gather details for further escalation. Provide daily functions associated with facility operations. 45%
  • Responsible for following up and submitting work tickets for the school. Secure necessary supplies and equipment for completion of projects. Support and coordinate projects for internal and external stakeholders (moves, clear-outs, etc.) 40%
  • Responding to urgent Operational issues. Preparing for emergencies by creating building evacuation and other action plans. Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies, and climate control. Liaising with vendors and suppliers on behalf of senior managers. Reporting to the Director of Operations Management on a regular basis. Performs other tasks, duties, and responsibilities as required 15%


Minimum Qualifications



  • Bachelor's degree or equivalent in education and experience, plus two years of related experience.
  • Through written, verbal and interpersonal; communications. Must be adaptable, flexible dependable and self-aware. Ability to multi-task and manage competing priorities that often may be sensitive and/or confidential.
  • Demonstrated excellent judgment.
  • Written and verbal communication skills; able to communicate and interact effectively.
  • Demonstrated ability to work as team member under pressure, adapt to change, and perform work efficiently and accurately.
  • Demonstrated high attention to detail and problem-solving skills. Demonstrated ability to interact positively with a diverse population.
  • Effective problem solving and research skills. Strong customer focus ability to take initiate, self-supervise and function independently.
