Job Summary

The Administrative Assistant I provides general administrative support to teams across the organization. Responsibilities include preparing correspondence, reports, and presentations using standard business software, managing calendars, coordinating meetings and travel, and maintaining organized records and files. This role also handles incoming calls, visitors, mail, and email, ensuring smooth day-to-day operations. Strong attention to detail and excellent communication skills are essential for success.


Essential Duties

  • Plays a vital role in office operations by managing inventory, processing invoices, and ensuring a well-organized workspace. Provides essential administrative support to enhance team efficiency.
  • Files and retrieves documents, records, and reports.
  • Processes documents to update and maintain files and records; e.g., phone and address lists, distribution lists, etc.
  • Welcomes guests with professionalism, warmth, and hospitality to create a positive first impression.
  • Answers electronic communications and phone calls, and directs calls to appropriate parties or takes messages.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
  • Composes, formats and types routine correspondence.
  • Receives, sorts and forwards incoming mail. Coordinates the delivery of express mail services (FedEx, UPS, etc.)

Minimum Requirements

  • High school diploma or equivalent work experience.
  • Must have demonstrated proficiency with Microsoft Suite such as Outlook, Word, PowerPoint, OneNote, Excel
