The Department of Modern Languages and Literatures (MLL), located in the College of Arts and Humanities (CAH) at the University of Central Florida (UCF) is a student-centered department with a collegial and friendly faculty and staff. The Department offers B.A. and M.A. degrees, as well as undergraduate and graduate certificates, and is known for excellence in research, teaching and service to students and the community. The Opportunity:

Located in the main office of the Department of Modern Languages and Literatures as one of the first points of contact, the Administrative Assistant I will assist all faculty, staff, students, and visitors to the department, either in person, via telephone or email, by answering questions, and providing general direction and assistance as needed. Duties will also include, but are not limited to, property custodian, providing support for undergraduate academic advising, serve on college committees, serve as marketing liaison, operating audio/visual and media equipment, processing mail, key distribution, and other duties as assigned.

Responsibilities:


  • Greet all persons upon entrance to the departmental suite and provides assistance as needed. Answer the telephone. Make necessary referrals.

  • Make necessary room reservations for faculty or staff for meeting usage.

  • Inventory and maintain departmental supplies and submit orders as needed.

  • Has general knowledge of all MLL undergraduate programs in order to answer general questions and provide advising support. Participate in New Student Orientations as needed.

  • Copy exams/quizzes/course materials for faculty and Graduate Teaching Assistants. Maintain confidentiality of exams/quizzes. Proctor exams for faculty if needed.

  • Monitor and respond to emails sent to departmental accounts.

  • Review and submit completed registration forms and maintain departmental files for all such forms.

  • Serve on college committees as needed. Act as liaison with CAH communications and marketing.

  • Maintain internal inventory of all computer equipment in the department. Serve as property custodian. Complete yearly reports as required for all inventory.

  • Assist faculty and staff with media equipment usage. Monitor use of department copier. Assist in disseminating information via departmental distribution list.

  • Update and maintain departmental spreadsheets of contact information and office hours for faculty, GTAs, adjuncts and staff on shared drive. Create mailboxes for new faculty and GTAs. Issue keys to new staff/faculty and track the return of outgoing faculty/staff keys.

  • Process incoming and outgoing mail including FedEx, USPS, etc.

  • Assist department chair and staff with office operations as needed. Assist work-study students.

  • Take minutes and attendance at departmental meetings.

  • Interpret applicable UCF rules, policies and procedures governing office operations.

  • Other duties as assigned.


Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Bachelor's degree.

  • Three years of experience working in an educational environment, which includes customer service, working with faculty, and students.

  • Experience with Microsoft Office Suite (Word, Excel, Outlook, etc.).

  • Preferred candidates will have strong English communication skills and the ability to speak multiple languages, enabling effective collaboration with both customers and team members.


The most successful candidates may possess the following qualities:


  • Excellent written and oral communication skills.

  • Excellent organizational skills, detail-oriented, and takes initiative within the parameters of assigned duties.
