SUMMARY OF THE ROLE
The Site Administrative Assistant is responsible for providing general administrative support and office management to NextDecade site teams in Brownsville, TX consisting of but not limited to construction, quality management, field engineering, HSSE, commissioning departments. The successful candidate thrives in fast-paced environment and is collaborative with strong communication and attention to detail.

KEY RESPONSIBILITIES
  • Meet regularly with manager(s) to be informed of key issues and coordinate workload.
  • Act as a primary contact point for visitors and callers.
  • Organize facilities for conferences, meetings, training, or employee events.
  • Create and organize presentations or materials needed for meetings.
  • Coordinate special activities and programs with manager's input and approval.
  • Assist coordinating meeting logistics and catering services for various departments including scheduling and maintaining conference rooms.
  • Process project correspondence, conference notes & meeting minutes and action items log.
  • Coordinate mail, including sorting and forwarding incoming mail, and scheduling pick-up and delivery of mail services.
  • Manage vehicle fleet maintenance logs and scheduling of all services.
  • Compile and submit expense reports and assist with travel arrangements.
  • Track and order office supplies and break room necessities.
  • Support with new employee onboarding.
  • Track and coordinate site visitors to ensure protocols are followed and maintain welcoming environment.
  • Develop and maintain phone/email lists, calendars, project related forms and others.
  • Scan and copy documents.
  • Other duties assigned by Manager.
REQUIREMENTS
  • High school diploma or equivalent.
  • 5 years of administrative assistant experience in project or similar industries.
  • Bilingual in Spanish and English.
  • Display effective communication skills.
  • Effective time management skills, including punctuality, flexibility, and reliability.
  • Strong organizational skills, including planning, scheduling, and follow-up capabilities.
  • Strong composition and grammar skills.
  • Highly proficient in Microsoft office, particularly Outlook, Word and Excel and database applications.
  • Working knowledge of Concur.
  • Must be able to work independently.
  • Experience interfacing with executive management.
PREFERRED REQUIREMENTS
  • Additional training is a plus, specifically in computer/software and/or prior demonstratable work experience.
Work Environment
This position operates in a professional office environment with occasional work within or outside of a complex construction environment. This role routinely uses standard office equipment such as computers, phones, photocopiers/fax, filing cabinets, etc. This is primarily a sedentary role; however, the incumbent must be able to stand and/or sit continuously to perform all essential job functions for a full shift.

* Ability to lift up to 20 lbs. as required in order to lift files, boxes and office equipment as necessary.
* Ability to lift files, open filing cabinets and bending, standing on a stool, or climbing as necessary to perform these functions.
* While performing the duties of this role, the incumbent may be required to talk or hear.
* The incumbent is required to stand, walk, use hands to handle or feel; and reach with hands and arms.
* Ability to move throughout all areas of each office/site location and facilities.
* Able to wear all necessary PPE equipment to perform job functions.
