Position Summary:

Leads warranty team in submitting and collecting $35M annual warranty recovery and pre-delivery inspection (PDI) budget from vehicle OEMs. Collaborates with close to 100 maintenance locations to develop and implement policies, procedures, tools and training, to optimize collection of standard, campaign and recall warranties from vehicle OEMs. Ensures proper technology is in place to collect pre-delivery inspection credits from applicable OEMs. Recognizes and motivates staff to improve performance, results and field and cross-departmental engagement. Builds strong relationships while creating a positive work environment.

What you'll do:

  • Ensure adherence to all manufacturer and aftermarket warranty policies, procedures, and compliance requirements.
  • Establish and maintain productive relationships with OEM warranty representatives and aftermarket warranty partners.
  • Lead the review of warranty repair orders for accuracy, completion, and compliance with policy and procedure manuals.
  • Collaborate with service advisors, service directors, and technicians to confirm all necessary diagnostic documentation accompanies repair orders.
  • Oversee accurate entry of labor operation codes, failure codes, and other administrative data on repair orders.
  • Direct the submission of warranty claims to manufacturers and aftermarket companies, ensuring timeliness and accuracy through available administrative tools.
  • Monitor warranty receivables and ensure proper documentation and collection of deductibles at the time of repair completion.
  • Review and resolve returned or rejected claims, preparing resubmissions promptly.
  • Maintain oversight of all claims submitted, rejected, and paid, ensuring daily review with service leadership and consistent progress toward recovery goals.
  • Set and monitor departmental performance targets, including warranty claim acceptance rates and receivable timelines.
  • Lead cross-functional collaboration with shop foremen, technicians, advisors, and service directors to optimize warranty recovery processes.
  • Develop and implement policies, procedures, tools, and training to drive continuous improvement in warranty and PDI recovery operations.
  • Manage and coach staff to achieve departmental objectives, providing recognition, feedback, and professional development opportunities.
  • Build and maintain strong working relationships across internal teams and with external OEM partners to enhance warranty recovery outcomes.

You should apply if you bring:

  • 5+ years of progressive experience in warranty administration, automotive service management, or related field.
  • Prior leadership experience managing teams, including hiring, coaching, and performance management.
  • Strong knowledge of OEM warranty processes, repair order documentation, and claim systems.
  • Familiarity with DMS platforms (CDK, Reynolds & Reynolds, Dealertrack) and proficiency in Excel/PowerPoint.
  • Excellent organizational, problem-solving, and communication skills with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment.
  • Project management and vendor relationship management experience a plus.

The annual starting salary for this position is between $85,000 - $120,000 annually. Factors that may affect starting pay within this range include geography/market, skills, education, experience, and other qualifications of the successful candidate.
