Job Summary

Develops and implements systems to help streamline the Office of Schools programs and functions. Works on office projects, assists customers and provides leadership to other clerical staff within the office.

FY25 Salary: $60,019 - 86,156

Qualifications

  • Position requires a bachelors degree in Business, Communications or a related field.
  • Three to five years of previous experience in a high-volume, customer-focused environment is required.
  • Experience with automated databases and publishing software is required.
  • Previous public sector experience is desired.
  • Equivalent education and experience can be considered in lieu of a degree.
Responsibilities

  • Assists the Office of Schools in the assigned role. Serves as the main resource for the area and performs support functions at all levels.
  • Develops and maintains databases, follow up procedures and controls for the Office.
  • Works with staff to ensure complete data collection and tracking. Works with various department directors to resolve administrative matters.
  • Maintains and coordinates the monthly calendar of events and works with staff to monitor tasks and coordinate workflows.
  • Coordinates and maintains information for weekly meetings, employee sessions and management committees. Attends meetings and takes notes as directed. Prepares communications and correspondence in support of these functions.
  • Prepares materials and reports for the Office.
  • Manages and coordinates the administrative processes for the Office.
  • Prepares bulletins, reports and information items. Undertakes research to prepare related reports and correspondence as directed.
  • Performs office management functions such as payroll, budget, requisitions, inventory and other office maintenance duties. Serves as a back-up for payment processing.
  • Initiates, implements and coordinates new office and record-keeping procedures involving filing systems, forms, portal information and internal controls.
  • Coordinates the work of the Office to ensure team tasks are coordinated and serves as back-up and consistent coverage for customer service.
  • Actively supports the MPS Strategic Plan.
  • Performs other duties as assigned.
