he Executive Assistant will provide high-level administrative support to the Divisional President, SVP CFO and other senior staff. In this role, the Executive Assistant will assist with daily tasks including scheduling, travel arrangements, correspondence, meeting coordination, mailings, answering phones, and the development and distribution of special projects as needed. Must possess a flexible attitude and the ability to prioritize changing priorities.

Responsibilities

    Provides high-level administrative support and assistance to the Divisional Executive Team of Amerita and other assigned leadership staff
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff
  • Arranges travel and accommodations for executives
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
  • Manages corporate office requirements, including space planning, office supply ordering, building compliance, maintenance, coordination, and communication
  • Acts as the administrator for corporate software systems and programs such as Office Depot, telecom & webcast services, marketing portal
  • Subject Matter Expert, administrator and trainer for the company's travel & expense reporting policy and software system
  • Project leader for the annual National Meeting, to include coordination of travel, meeting space, presentations, IT, etc.
  • Performs additional duties as assigned by executives


Qualifications

  • High School diploma; Bachelor's degree in Business Administration or related field preferred
  • At least four years of related experience
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced and at times stressful environment
  • Ability to type minimum of 50 words per minute
