Job Description

Event Operations, within the Division of Student Affairs, serves as the hub of student life and centralized event management at the University of Missouri - St. Louis. The Events Manager for Event Operations is responsible for professional client service and support in the planning, organization, and management of events and supervision of student employees who support events and operations within multiple venues. The Events Manager assists in developing efficient and effective functions for all event service's needs and works collaboratively with campus partners to create a safe environment for campus stakeholders and external clients.

The Events Manager oversees operations associated with centralized event management for the University and supports the co-curricular engagement functions for the campus. The position is responsible for cultivating and retaining conference event services clients, daily scheduling and event coordination, contract negation and execution, and interdepartmental communications regarding event services usage. The Events Manager assists with creating a culture of seamless support for the student union and managing high-quality services for the internal UMSL community and external clients and stakeholders. This position reports directly the Assistant Director of Event Services.

Key Duties Include

  • Develop and implement effective sales strategies that cultivate and secure new clients and maintain existing clients. Serve as primary contact for the Millennium Student Center building, Outdoor Space Events, multi-site venue events, and other event spaces on UMSL's campus for both on and off campus clients during sales process. Assist in the event booking and management process for other key event spaces on campus.
  • Promote and maximize the use of conference and event spaces and their associated services to clients by responding to initial inquiries, conducting facility walk-throughs, and facilitating client meetings that convert inquiries into booked events
  • Supervise Student Event Mangers. Responsible for hiring, performance management, staff scheduling, staff training, and oversight of student work assignments
  • Coordinate internal and external client reservations including but not limited to audio-visual equipment, floor plans, room setups, furniture rental, and staffing needs. Provide complete "one stop" event management services and excellent customer service to all clients including student organizations, campus departments, and external clients
  • Initiate and maintain contact with non-university/external event clients; negotiate and monitor contracts, in particular high profile and multi-service contracts
  • Manage project communications, ensuring that any issues, changes, or required components that impact the event are documented and addressed with key team members including facility managers, operations personnel, and third-party catering vendor to ensure client needs are understood and met
  • Assist in coordinating usage and overseeing maintenance of key event management and venue scheduling software including Mazevo scheduling software, All Seated diagram software, and other necessary tools to improve the client experience in multiple event spaces across campus
  • Assist in managing the financial flow of event services including monitoring deadlines for departmental and client billing within the Mazevo scheduling system, closing contracts, and obtaining and processing payment
  • Responsible for the procurement of insurance certificates, permits, and/or other necessary paperwork for events.
  • Develop and prepare marketing materials such as email blasts, media kits, and social media campaigns designed to expand clientele
  • Flexible to work nights and weekends to coordinate events and assist with facilitating onsite activities, handle last minute requests and changes, and ensure events take place as contracted. Provide 24-hour on-call emergency response as related to events
  • Support the overall operation of Event Services and contribute to the organization's overall success by performing other duties as assigned by the Associate Director of the Millennium Student Center and Event Services

Shift

Typical schedule is 8-5 Monday thru Friday with some nights and weekends

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • The candidate must possess the ability to work effectively in a team and fast-paced environment while meeting strict deadlines. There will also be times when the candidate will be expected to complete tasks, make decisions, and communicate with staff with little or no supervision. Must be able to multitask and take initiative when necessary
  • Ability to work nights and weekends.
Anticipated Hiring Range

Salary: $52,915.20 - $55,000 annually

Grade: GGS-010
