Role Purpose:

The Senior Executive Assistant is a specialist support professional providing administrative support to designated Executives requiring independent judgment and proficient skill level and knowledge of administrative processes. Serves as intermediary and communicates on Executive's behalf with all members of executive management, directors and staff, as well as managing all details related to designated office(s).

Key Responsibilities:

  • Completes work within standardized procedures and practices to achieve objectives and meet deadlines; Has limited discretion to vary from established procedures.
  • Works within established procedures with a minimal degree of supervision; Scope of work is defined and completed with moderate autonomy.
  • Maintains a polished, professional and service-oriented demeanor always, and alternates working styles in accordance with supporting different executives.
  • Provides support, including technical guidance as appropriate, and coordination of administrative matters to ensure the professionals they assist are on time and have all the resources they need; Has some discretion to vary from established procedures.
  • Proactively identifies problems and all relevant issues in straightforward situations, assessing each using standard procedures and making sound decisions on behalf of the supported executives.
  • Assists in preparing reports, presentations and other documents; Transcribes meeting minutes and writes them up subsequently.
  • Handles highly confidential matters related to all aspects of the executive's corporate responsibilities.
  • Assists in event planning, including off-sites, conferences, and corporate functions, and schedules and handles related details in coordinating meetings, conferences, webinars, including food coordination as necessary and appropriate.
  • Monitors, drafts, and manages emails and correspondence with accuracy and professionalism, and screens incoming emails, calls & visitors, working to control the flow of information to the executives.
  • Coordinates travel arrangements & itineraries for executives, and provides real-time travel support and logistics troubleshooting.
  • Coordinates communications to the executive's organizations on their behalf on important matters of safety, deadlines and specialized projects.
  • Reviews and processes incoming invoices accurately and timely for proper approval. Assists in the preparations of requisitions, purchase orders, expense reports etc.
  • Functions as a liaison between the executive's department and safety to ensure they are on target for safety meeting goals, employees are into the training system and employees are completing safety modules.
  • Receives instruction, guidance, and directions from manager or senior staff; Understands that some assignments may require problem resolution using previous experience as well as defined procedures and practices.
  • Provides support to staff within the organization including ordering office supplies, coordinating IT/hardware requests and reserving conference rooms for meetings; May occasionally provide technical guidance (e.g., using software application) to an Assistant.
  • Oversee and provide accurate budgeting support in the SAP system.
  • Assists with scheduling candidate interviews.
  • Works with the Executive Team to ensure all board materials are received in a timely manner for review and filing.
  • Initiates communication with executives or staff within the organization to gain more understanding of the desired path forward.

Qualifications:

  • Bachelor's degree preferred
  • 5+ years of related experience
  • Competent in the use of software programs used by Cleco including Microsoft Office and other company-specific software programs.
  • Knowledgeable in the use of office systems, mobile devices and other office technology.
  • Detailed-oriented and high work standards in support of seamless execution
  • Strong Interpersonal, communications, writing, speaking, and listening skills.
  • Thrives on working in a team and supporting others to achieve goals/targets.
  • Ability to prioritize tasks.

    May perform other duties as assigned.Salary dependent on experience, skills, education, and training.
