The HR Specialist III plays a vital role in shaping how candidates, new hires, and employees experience UMSL from that very first application click to their first week on campus and beyond. RECRUITMENT
- Collaborates with departments to develop accurate and compelling job postings and screening questions.
- Trains hiring managers and departmental staff on applicant tracking system (ATS) procedures.
- Proactively screens applications and routes qualified candidates to hiring managers.
- Provides guidance to applicants on the application process and job search strategies.
- Serves as a positive ambassador for UMSL through professional, responsive communication and in-person support.
HIRING AND ONBOARDING
- Conducts reference checks and reviews prior university employment history to inform hiring decisions.
- Initiates and monitors criminal background checks in accordance with university policy.
- Supports unpaid appointment processes.
- Prepares and reviews offer letters in coordination with hiring managers.
- Supports supervisors and new hires by guiding them through pre-boarding requirements.
- Monitors pending I-9 forms and maintains proactive communication to ensure timely completion prior to the employee's start date.
- Assembles and distributes new employee welcome kits. Purchases materials, creates custom labels, and ensures boxes are at employees work location within their first week.
- Maintains and updates orientation materials and online onboarding resources.
HR OPERATIONS AND ADMINISTRATION
- Serves as the primary contact for the HR department email inboxes and phone lines.
- Develops and distributes HR newsletters, including writing content, designing layouts, and coordinating new topics HR colleagues.
- Ensures the HR website is regularly updated and informative.
- Provides cross-functional support to HR colleagues as needed.
Performs other duties as assigned to support departmental and university goals. Application review will begin September 18 and continue until position is filled. Shift
8:00 am - 4:30 pm, Monday-Friday (FULLY ON-SITE)
Minimum Qualifications
A bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Technical Proficiency:
- Microsoft products: Intermediate to Proficient knowledge of Power Automate, SharePoint, Excel, Word, PowerPoint and Lists
- Adobe products: Basic to Intermediate knowledge of Adobe Acrobat, Adobe Sign, Photoshop, Illustrator and Premiere Pro
- Kuali: Forms with workflow
- Canvas: Presentations and graphics
- Website: Basic knowledge of HTML, CSS and JavaScript
- AI: Voice-over presentations
- Qualtrics: Surveys
Anticipated Hiring Range
