Washington County, located in West Bend, Wisconsin has an excellent opportunity for an Administrative Assistant I with our Human Services Department This position provides administrative support function for programs within the Human Services Department.
Qualified candidates must possess:
*Knowledge and comprehension of general office procedures, the ability to operate a multi-line phone system and operate various office equipment.
*High School Diploma/GED
*One year of previous office experience, one year of paid computer experience with knowledge and proficiency in Microsoft Office Suite.

Position Summary:
Under the routine supervision of the Human Services Office Manager, responsible for providing customer service and clerical support for programs within the Human Services Department.

Duties/Responsibilities:
The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.
*Schedules, verifies, and cancels appointments for the clinical team.

*Directs callers and assists all walk-in visitors.

*Answers and screens phone calls, referring callers as appropriate.

*Provides assistance with requests for new services, including communication of program information, completion of registration documents, and updating of service tracker.

*Distributes packages, documents, prescriptions, and medications as directed by staff.

*Assess and direct individuals who may be experiencing mental health challenges, developmental disabilities, or have emergent needs to programs and services.

*Provide a safe and welcome environment for individuals and families within the community.

*Enters information and maintains data into the electronic medical record and scheduling systems.

*Makes copies of documents and distributes as appropriate.

*Scans documents using the electronic imaging process.

*Performs other duties as assigned, including responding to an emergency event.

Works under the routine supervision of the Human Services Office Manager.

Supervision Exercised:

None.

Decision Making:

Decisions concerning work priorities and other daily activities are made independently.

Interaction:

There is interaction with other County Departments, the public, and others outside of the organization.

Essential Knowledge and Abilities:

Knowledge and comprehension of general office practices and procedures. Ability to type documents accurately, process documents appropriately, and interact effectively with co workers. Experience operating a multi-line phone system. Ability to operate various office equipment. Provide customer service to clients and staff appropriately and professionally. Able to apply effective listening skills and tone of voice when responding to client needs. Ability to organize and maintain a professional working environment. Must be able to work independently in a fast-paced environment, handling multiple tasks routinely. Ability to organize and prioritize tasks. Flexibility to adjust daily schedule to meet unexpected demands. Able to fulfill physical demands of job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization).

Training and Experience:

High School Diploma or GED, one year of previous office experience, one year paid computer experience or proficiency in computer operations and electronic appointment scheduling programs. Typing ability of 50 words per minute. Previous office experience within a behavioral health clinic setting preferred.
