The JC Raulston Arboretum is a dynamic 10.5 acre public garden that is the public-facing interface with NC State University's Department of Horticultural Science. With the mission of diversifying the landscape by sharing our passion, our plants and our knowledge, the
JCRA welcomes
XXX visitors a year, hosts
XXX educational programs and has
XXX of plants in its living collections.
As a vibrant public garden, the
JCRA has the need for an administrative professional to facilitate business and financial operations, contribute to guest services, and support other
JCRA teams' work. This position would play a vital role in supporting the successful execution of daily operations, garden events and educational programs. This multifaceted position ensures accurate processing of contracts, payments and reporting, while also providing support to internal teams and maintaining effective communication with
JCRA Members, garden visitors and external partners.
Key Responsibilities: Administrative Support:
- Serve as the primary backup to the current business coordinator for administrative and operational duties.
- Support membership and volunteer coordination efforts, including membership processing, communication and record-keeping.
- Draft and manage speaker agreements for events and programs.
- Coordinate vendor, band and food truck agreements for garden events like Moonlight in the Garden and Raulston Blooms.
- Facilitate hiring paperwork and onboarding processes for new staff, interns, or seasonal hires.
- Assist JCRA leadership as needed.
Finance & Purchasing:
- Manage and ensure timely processing of school and adult tour invoicing, payments, and post-event analysis.
- Submit speaker invoices to ensure timely payment.
- Process vendor payments and ensure compliance with organizational guidelines.
- Submit University Purchasing Credit Card transactions with appropriate paperwork and documentation.
- Oversee apparel inventory and coordinate restocking as needed.
- Process Interdepartmental Transfers for NCSU rental clients
- Manage purchase card and travel reporting.
Event & Ticketing Support:
- Manage ticketing processes for special events, including Moonlight in the Garden.
- Ensure customer satisfaction through handling customer questions about tickets and event information.
- Maintain accurate and timely post-event reporting.
Liaison Responsibilities:
- Act as the primary liaison with university departments, ensuring compliance and coordination.
- Serve as the facilities liaison to coordinate maintenance, setup and logistical support for events and daily operations.
The successful candidate will be required to often interact with the public and represent the
JCRA in a professional and positive manner. They will have the ability to problem solve, learn and follow University guidelines and resources. |

- Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience
