Description
We are seeking a highly organized and proactive Administrative Assistant III to provide administrative support to 4 to 6 inpatient units at Santa Monica UCL A Medical Center. As a member of the Nursing Administration department, you will manage multiple priorities, coordinate events, and support nursing leadership teams.
Key Responsibilities
*Generate reports and maintain personnel records using systems like One Staff Scheduling, HR Tracking, and Evercheck.
*Coordinate travel arrangements and process reimbursements for nursing staff.
*Support meetings by scheduling, preparing agendas, attending, and documenting minutes.
*Assist with onboarding and transitioning of nursing staff and leadership.
*Serve as a liaison to the Chief Nursing Officer, Senior Director of Nursing, and Executive Management.
*Ensure competency compliance and departmental updates in collaboration with Unit Directors and Clinical Nurse Managers.
*Act as ID Management Authorizer and manage facilities and IT service requests to resolution.
*Plan and execute departmental events, retreats, and special projects.
*Mentor administrative support staff and facilitate copy center and EMPAC-related requests.
*Provide technical support and maintain proficiency in Microsoft Office Suite and other relevant systems.
*Perform additional administrative duties as assigned to support departmental operations.
Salary Range: $30.36 - $43.49 hourly
Qualifications Required
*Strong communication skills (verbal and written).
*Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
*Ability to work independently and prioritize tasks effectively.
*Demonstrated ability to problem-solve and manage multiple projects.
*High level of professionalism and discretion in handling sensitive information.
*Strong interpersonal skills and ability to work collaboratively across departments.
Preferred
*Experience in a healthcare or academic medical center setting.
*Familiarity with nursing operations and administrative support in clinical environments.
* Experience with EMPAC, Travel Express, and other UCLA systems.
