The Opportunity:

The Department of Facilities Operations within Facilities and Business Operations (FBO) is seeking to hire an Administrative Assistant I. This role is responsible for serving as the first point of contact for FBO, delivering exceptional customer service to all visitors, and ensuring efficient front office operations. Reporting to the Executive Assistant III, this position supports day-to-day administrative functions and provides backup support to FBO administrative staff as needed.

Responsibilities:


  • Greet and assist visitors with professionalism, ensuring a welcoming and secure environment

  • Manage door access and coordinate the receipt and distribution of packages

  • Handle incoming correspondence, including mail, email, and interoffice communication

  • Maintain organized filing systems for both paper and electronic records

  • Update and manage the office directory to ensure accurate contact information

  • Assist in processing expense reports in Workday, ensuring accuracy and compliance with university policies

  • Provide administrative support and backup to the Executive Assistant III and other administrative team members

  • Manage conference room scheduling in Outlook, including setup and cleanup

  • Coordinate event logistics, including venue and catering arrangements

  • Direct incoming calls efficiently and with excellent customer service

  • Perform other duties as assigned


Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • 2+ years of experience in an administrative support or customer service role, preferably in a higher education or public sector environment

  • Experience using Workday or a similar enterprise resource planning (ERP) system for expense reporting and administrative tasks

  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and Teams

  • Familiarity with managing conference room scheduling and event coordination

  • Strong organizational and time management skills, with the ability to prioritize multiple responsibilities

  • Demonstrated ability to work collaboratively in a fast-paced, team-oriented environment

  • Commitment to delivering high-quality customer service with professionalism and discretion

  • Experience handling confidential or sensitive information with a high degree of integrity

  • Working knowledge of office procedures and standard practices


Special Instructions to the Applicants:

The anticipated hourly range for this position is $15.66 to $20.36. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
