Position Summary

Documentation Archive Support Coordinator supports the organization, archiving, and retrieval of controlled documents in a regulated manufacturing environment. This role ensures timely and accurate handling of batch records, logbooks, and other documentation using both electronic systems and physical filing methods. The ideal candidate is detail-oriented, dependable, and eager to learn.

Hours: 1st shift, 7:30am - 4:00pm. Overtime may be required.

Position Responsibilities

  • Archive, retrieve, and refile company records using systems such as Gimmal and Locator.
  • Maintain accurate records to ensure traceability and compliance with internal procedures.
  • Support audits and inspections by locating and preparing requested documentation.
  • Manage the Central Documentation mailbox:
    • Handle record pulls, scans, and copies.
    • Issue Protocol Numbers.
    • Issue Logbooks and Lab Notebooks.
    • Prepare new packets for batch record or master index change requests.
    • Schedule record deliveries.
  • Coordinate with long-term storage vendors for the retrieval of documents from off-site storage.
  • Process records for shipment to long-term storage.
  • Perform pickup and delivery of records across departments.
  • Collaborate with Document Control and manufacturing teams to support documentation flow and retention.
  • Maintain physical storage areas in accordance with company standards.
  • Assist with batch record changes.
  • Assist with supply order placement.
  • Perform any other duties as assigned.

Education and Experience

  • High school diploma or equivalent required.
  • Prior experience in administrative, clerical, or records-related work is helpful but not required.
  • Basic familiarity with computers and Microsoft Office (especially Word and Excel).
  • Ability to learn and follow documentation procedures and filing systems.
  • Comfortable handling confidential information with care.
  • Strong attention to detail and organizational skills.
  • Good communication and teamwork abilities.

Technical Skills and Competencies Required

  • Proficient in word processing and other general computer skills.
  • Able to organize and prioritize tasks effectively.
  • Able to communicate clearly across multiple teams.
  • Capable of working both independently and collaboratively in a team environment.

Physical Position Requirements

This position requires sitting, standing, lifting, and walking with occasional overtime.
