We specialize in the development, production, installation and servicing of low-cost compact ion linear accelerators (linacs) using radiofrequency quadrupole (RFQ) linac and drift-tube linac (DTL) technology. Our company is dedicated to using this position of leadership to provide the highest quality and most reliable commercial ion linac systems to meet the needs of customers in medical, industrial, and research applications. HPES is located in Pleasanton, CA as well as 5 Service Maintenance sites - Mayo Clinic Rochester, MN, Mayo Clinic, Phoenix, AZ, MD Anderson, Houston, TX, St. Jude's Children Hospital, Memphis, TN and John Hopkins Medical, Washington, DC

Duties and Responsibilities

  • Assist with new hire orientation, onboarding, offboarding, exit interviews and employee transitions, ensuring a smooth and compliant experience for new joiners.

  • Maintain and update employee records related to events such as hiring, termination, leaves, transfers, or promotions in the HRIS system with accuracy and confidentiality.

  • Offer first-line support for employee inquiries by responding to general HR questions i.e. (policies, procedures, benefits and programs, employee verification request).

  • Assist with the Bi-weekly Payroll timecard audit support for all SMO site employees.

  • Ensure compliance with federal, state, and local employment laws and regulations.

  • Assist in organizing training sessions, tracking participation, and maintaining learning records.

  • Provide administrative safety support on documentation, maintenance of safety records& logs, scheduling safety training sessions and tracking completions, support communication of safety reminders or updates; Ensure incident reports are properly routed to the appropriate department.

  • Assist in maintaining division organization charts.

  • Promote a positive work environment by supporting employee engagement, morale, and retention initiatives (i.e. engagement surveys, DEI initiatives, and internal communications) .

  • Act as backup for HR Business Partner during travel, vacations, out of office as needed.

  • Other special ad hoc HR projects & reporting as needed (i.e. Service Awards Luncheon, Holiday Party etc.).

Required Education and Experience:

  • High School Diploma or equivalent general education requirements. Bachelor's degree in Human Resources and/or Business Administration a plus

  • Minimum of 2-3 years of proven experience in a Human Resources support role.

  • Experience with HRIS systems (e.g., Workday, ADP, SharePoint) and Microsoft Office Suite.

  • Familiarity with employment laws and HR best practices.

  • Self-motivator with ability to work independently.

  • Strong interpersonal, communication, time management and organizational skills.

  • Excellent verbal and written communication skills.

  • Proven ability to manage multiple priorities and maintain confidentiality.

  • Proficiency using MS Windows applications (i.e., Word, Excel, and PowerPoint).

  • Comfortable navigating a dynamic, fast-paced environment with shifting priorities and multiple tasks, demonstrating flexibility and resilience in the face of ambiguity.

Supervisory Responsibility:

This position does not carry supervisory responsibility.

Travel Requirements:

This position does not require business travel, unless prior notice by supervisor.

Work Environment:

Daily performance of this position is accomplished primarily in an office environment and will routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. May handle up to 25 pounds infrequently. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This is largely a sedentary role; however, some filing is required. This would require the ability to work seated at a desk, be able to use a PC, to lift boxes and files, open filing cabinets and bending or standing on a stool as necessary.
