Description

American Specialty Health Incorporated is seeking an Executive Administrator to work with our Enterprise Security Programs department. This position will support the leadership team within the Enterprise Security Programs department.

Hourly Salary Range
American Specialty Health complies with state and federal wage and hour laws and compensation depends upon candidate's qualifications, education, skill set, years of experience, and internal equity. $23.15 to $26.00 Hourly Wage Range.

Remote Worker Considerations:

Candidates who are selected for this position will be trained remotely and must be able to work from home (WFH) in a designated work area with company-provided technology equipment. This remote/WFH position requires you have a stable connection to your Internet Service Provider with the ability to participate by video in online meetings over a reliable and consistent network (minimum internet download of 50 Mbps and 10 Mbps upload speed).

Responsibilities

  • Provides administrative support to Enterprise Security leadership.
  • Maintains calendars and coordinates meetings with internal and external attendees; proactively resolves scheduling conflicts.
  • Responds to clients, vendors, and employees on behalf of leadership as directed.
  • Manages task assignments as follow-up to meetings.
  • Assists with department purchasing and makes travel arrangements.
  • Prepares and submits expense reports on behalf of team members.
  • Prepares documents, spreadsheets, presentations, and other reports as assigned.
  • Coordinates virtual team building events, offsite events, and celebrations.
  • Assists with meetings facilitated by leadership.
  • Maintains and prepares meeting agendas.
  • Coordinates schedules and document distribution in a timely manner.
  • Takes accurate notes and maintains an action log.
  • Coordinates projects as assigned.
  • Performs research and prepares project plans and documentation.
  • Interacts with department managers and other staff to provide or obtain information and to facilitate projects.
  • Assists with creating training material for staff.

Qualifications

  • Bachelor's Degree or equivalent experience. If equivalent experience, high school diploma required.
  • Minimum 3 years providing executive level administrative support; experience supporting multiple positions in technology roles preferred.
  • Experience managing calendars and travel arrangements.
  • Demonstrated experience in a dynamic fast-paced environment.
  • Demonstrated experience with successfully managing concurrent high-priority assignments.
  • High competency level with Outlook, Word, Excel, and PowerPoint.
  • Strong ability to effectively organize, prioritize, multi-task, and manage time.
  • Ability to track technical conversations and take meeting notes.
  • Excellent verbal and written communication skills.
  • Strong analytical skills, problem solving, and negotiation skills.

Physical Requirements

Ability to speak, see and hear other personnel and/or objects. Ability to communicate both in verbal and written form. Ability to travel within the facility. Capable of using a telephone and computer keyboard. Ability to lift up to 10 lbs.

Work-from-home (WFH) environment.
