Location: Onsite - Jacksonville, FL


Schedule: Monday - Friday


Hours: 8am -5pm


Salary range: $16.21 - $20.27 per hour, depending upon experience



What work will you perform?


Coordinate and oversee daily departmental activities to ensure efficient operations. Serve as a primary point of contact for inquiries, providing timely and effective responses. Collaborate with internal teams and external partners to maintain seamless communication and support overall business objectives.



Essential Responsibilities:



  • Responsible for scanning and indexing of department invoices and inspection forms; organize high volume of paper documentation
  • Performs quality control activities to be sure that scanned documents are reconciled, electronically stored in the correct folder and that picture quality meets all specifications.
  • Maintains or exceeds established productivity and quality standards; creating accurate self-reporting based on daily production
  • Organize, prioritize and coordinate multiple tasks under daily deadlines.
  • Process all Trailer Maintenance Vendor Invoices and reconcile invoice differences.
  • Collaborate with peers and other departments to resolve discrepancies
  • Communicate with 3rd party vendors as required, i.e. maintenance shops
  • Create daily, weekly and monthly management reports; effectively using Excel
  • Oversee process to initiate reimbursement payments to BCO's for required inspection services upon completion; track and maintain associated daily reports
  • Process all Trailer Maintenance Vendor Invoices and reconcile invoice differences.
  • Manage and control Outlook email efficiently
  • Other duties as assigned within scope of skill set and based on needs of the department



Minimum Experience and Qualifications:



  • High School Diploma or GED
  • One year of administrative support in an office environment.



Preferred Experience and Qualifications:



  • 6 months of data entry experience
  • 6 months of logistics experience
  • 6 months of experience working with vehicles and/or trailers, including hands-on tasks or familiarity with related terminology.
  • Combination of any three


Knowledge, Skills, and Abilities:



  • Must be able to perform quality work and use discretion to solve problems with minimal supervision
  • Exceptional data entry skills, speed and accuracy mandatory
  • Excellent organizational and time management skills.
  • Strong knowledge of Word, Excel and Access; PowerPoint and iSeries 400,
  • Good analytical and judgment skills
