Job Summary

The Herbert Wertheim College of Medicine is currently seeking a Coordinator of Administrative Services to join our team of professionals.

Duties include:

  • Performs administrative functions for the department. Facilitates workflow for the office and provides follow-up on pending actions
  • Provides administrative support for department meetings, including scheduling, organizing and preparing material, taking minutes, and following up on pending items.
  • Serves as liaison between the department and the Panther180 manager at HWCOM. Trains and answers questions from department faculty and staff on Panther180. Responsible for generating reports, evaluations, processes, and tracking of Panther180 needs for the department.
  • Responsible for ensuring compliance with university and college-wide training requirements for department faculty members. Provides follow-up and support to department faculty to ensure completion of required trainings and updates by specified deadlines.
  • Works closely with the Associate Director of Academic Support Services on the annual faculty evaluation process for the department. Assists in gathering student course evaluations and developing department reports related to the annual review process. Coordinates the completion of annual faculty evaluations, including ensuring that department faculty members have updated their evaluations, and assists in facilitating meetings between faculty and supervisors/department chair for final evaluations.
  • Works closely with the Associate Director of Academic Support Services in the departments promotions process. Coordinates the gathering of promotion material necessary for faculty promotion files and providing guidance to faculty on completing their Panther180 promotion applications.
  • Serves as liaison between HWCOM Educational Programs, Office of Faculty Affairs and HR for community-based faculty appointments.
  • Serves as liaison between faculty, department administrative leads and other HWCOM departments, such as the Office of Faculty Affairs and other organizations as appropriate.
  • Performs other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Desired Qualifications

Previous experience in academia and/or healthcare environment preferred.
