Job Summary: We are seeking a motivated and detail-oriented Accounts Receivable Specialist to join our team. In this role, you will be responsible for contacting customers to collect payments on overdue accounts and for resolving billing disputes. You will also apply and reconcile payments received from customers, and contribute to the overall financial health of the company.


Key Responsibilities:



  • Contact customers via phone, email, and written communication to collect payments on overdue accounts.
  • Negotiate payment arrangements and settlement terms with customers.
  • Monitor accounts for discrepancies, errors, or disputes and work to resolve them in a timely manner.
  • Collaborate with other departments (e.g., billing, customer service) to ensure account accuracy and resolve customer concerns.
  • Provide outstanding customer service while maintaining professionalism and empathy during difficult situations.
  • Meet or exceed departmental goals for collections and accounts receivable aging.
  • Accurately process and post payments: match incoming payments to specific customer invoices and accounts.
  • Reconcile payment discrepancies: identify and resolve any discrepancies between payments received and records.
  • Handle customer inquiries: address customer questions and concerns regarding payments and accounts.
  • Maintain documentation: ensure all transactions are properly documented and archived.
  • Improve process efficiency: identify areas for improvement in cash application processes.
  • Generate reports: prepare reports on cash application and collection activities.


Qualifications:



  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Previous experience in collections, cash application & accounts receivable is preferred.
  • Strong communication skills.
  • Ability to handle difficult conversations with professionalism and tact.
  • Detail-oriented with excellent organizational skills.
  • Proficient in using MS Office and collections software.
