Description
Summary/Purpose of the Position: The Operations Coordinator will act as a liaison between the warehouse and internal customers. Essential Duties, Functions and/or Responsibilities:
- Review and respond to emails through DC01 request mailbox and initiate appropriate action to fulfill requests and inquiries within the scope of the DC operation
- Investigate, communicate, and resolve issues related to customer and branch shipping orders:
- Ship to address
- Ship via
- Orders on hold/no packing list
- Resolve 'No Pak' conditions for packing
- Acquire certs, SDS and other documents for shipping purposes:
- Upload documents to SXe if necessary
- Update lot expiration dates in SXe and reprint packing lists when necessary
- Update lot information in TWL and SXe when necessary:
- Lot number
- Expiration date
- Quantity
- Review Stage 2 - Packed/Shipped report:
- Ensure all orders are accounted for
- Investigate why orders haven't shipped
- Initiate process to ship orders
- Initiate inventory checks generated from reported shipping errors
- Document and communicate picking/packing/shipping errors
- Initiate Baker Hughes ASN process:
- Print ASNs
- Print Baker Hughes label
- Match up ASN, label and order
- Deliver to packing for shipping
- Review BOLs and Redline tickets to ensure all orders have shipped:
- Ship orders in TWL
- Ship orders in SXe
- Insert 'Notes' when necessary
- Acquire PODs and track shipped orders when requested
- Drop and un-drop orders as needed
- Unpick and unpack orders/lines when necessary
- Investigate and resolve mis-directed freight for other locations
- Create ship requests when needed
- File shipping claims of $150 or more when necessary
- Indirectly responsible for product quality
- Other duties as assigned
Qualifications
Education and/or Work Experience Requirements:
- Associate/Bachelor's Degree in Industrial Distribution, Business Management and Supply Chain Management or related field preferred
- Experience in distribution a plus
- Good interpersonal and collaboration skills
- Attention to detail and excellent follow-through skills
- Proper telephone and email etiquette skills
- Sense of urgency; ability to manage multiple projects concurrently
- Strong organizational skills
- Problem and dispute resolution skills
- Customer focused - fast, friendly service mentality
- Comfortable with technology and open to learning more
- Decision making skills
- Product and supply chain solutions knowledge
- Proficient in MS Office: Outlook, Word, Excel, ERP systems, CRM systems
- Negotiating Skills training a plus
Physical Requirements:
- Ability to safely and successfully perform essential job functions in accordance with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular and timely attendance in accordance with the ADA, FMLA, and other federal, state, and local regulations.
- Ability to lift up to 50 lbs., when necessary.
