POSITION OVERVIEW
Job Summary Acts as company ambassador by welcoming all guests and managing day-to-day office operations, including facilities coordination, vendor management, supply tracking, and administrative support to ensure a seamless and professional workplace experience. Roles and Responsibilities * Serves as the primary company ambassador for all guests, employees, visitors, vendors, and callers. * Coordinates and communicates with office stakeholders in all things related to the facility. * Handles incoming phone calls using Trilogy Service Standards and active listening to obtain satisfactory resolution or escalate accordingly. * Assists with scheduling meetings and directing visitors to appropriate meeting spaces. * Manages FOB access and serves as the primary contact for building emergencies. * Oversees daily opening and closing procedures for the home office. * Manages the Corporate Office card and tracks purchases for accountability which includes importing and tracking receipts for departmental purchases. * Maintains cleanliness and organization of office spaces, including kitchens, restrooms, gym, and mailrooms. * Coordinates with building management, housekeeping, and vendors for maintenance and facility needs. * Tracks and manages inventory of office, kitchen, and restroom supplies which includes ordering and restocking supplies from vendors. * Prepares onboarding kits including backpacks, name badges, and name tents. * Manages incoming and outgoing mail, including distributes incoming mail and packages, creating shipping labels, planned weekly mailings and company-wide mailing projects. * Manages work orders requested through work order system requests. * Assists with external vendor projects and other internal systems, such as office moving, maintenance and furniture requests as needed. * Other duties as assigned. Qualifications Education: High School / GED Experience: 1-3 years Licenses and Certifications None Required Physical Requirements Sitting, standing, bending, reaching, stretching, stooping, walking, and moving intermittently during working hours. Must be able to lift at least 50lbs. Must be able to maintain verbal and written communication with co-workers, supervisors, residents, family members, visitors, vendors, and all business associates outside of the health campus.
