Command, Control, Intelligence, and Encryption (C2I&E)

By joining our Command, Control, Intelligence, and Encryption (C2I&E) business, you will be a member of a team dedicated to providing innovative solutions that streamline the preparation and execution of intricate, mission-critical operations. We focus on enhancing situational awareness, tactical command and control, and seamless video data exchange capabilities within a dynamic, multi-domain environment.

Job Description
Ultra I&C is seeking a dependable and detail-oriented Administrative Assistant to support our San Diego office on a part-time (16 to 20 hours/week), onsite basis. Reporting directly to the Site Director, this role provides essential administrative support to site leadership and program teams to ensure smooth daily operations.

Work Schedule: Contingent on applicant. Office is open 8am - 4pm Pacific.

Hours per week: 20 hours max

Key Responsibilities:

  • Performing general administrative duties (mailing, scanning, copying, filing, etc.)
  • Coordinating travel arrangements
  • Preparing reports, correspondence, meeting materials, and status updates
  • Maintaining accurate paper and digital records
  • Assisting with meeting setup and occasional customer visits
  • Managing calendars for site leadership
  • Handling mail services
  • Monitoring and ordering office inventory (food, coffee, refreshments, and supplies)
  • Coordinating onsite and offsite events
  • Supporting other ad hoc tasks as needed to ensure operational efficiency

Required Skills and Qualifications:

  • This position requires US Citizenship for the ability to obtain the necessary clearances and access our facility unescorted.
  • High school diploma or equivalent.
  • Proficiency with Microsoft Office and common office tools

Traits were looking for:

  • Previous administrative or office support experience, great but not required.
  • Strong time management and prioritization skills
  • High attention to detail
  • Clear written and verbal communication
  • Strong organizational and multitasking abilities
  • Strong proficiency with Microsoft Office tools, such as PowerPoint

This position offers an hourly rate of $20 to $30, with a midpoint of $25 per hour, contingent upon skills and experience.
