Primary Purpose of Department
The Office of Research Services ( ORS) is the campus shared services research support office for pre- and post-award administration, including proposal development, submissions, contracting, award management, and reporting. ORS organizes and gives strategic direction to the research program, manages the institutional signature process for the Authorized Organizational Representatives (AORs), provides faculty/staff/student support by reviewing and interpreting sponsor guidelines and regulations, prepares budget documents, reviews proposal packages for conformity to sponsor requirements, and submits and tracking proposals. ORS is also responsible for ensuring that funded projects are carried out in a manner consistent with the university and sponsor policies and procedures. The Office develops and facilitates training opportunities for campus research administration staff.
Primary Purpose of Position
The position of Assistant Director holds major responsibilities in the areas of budget development, proposal development, and proposal submission. This position has institutional signature authority as an Authorized Organizational Representative ( AOR). In consultation with the Director, assist with unit operations, policy development, and strategic initiatives. Serve as a lead for coordinating proposal submissions and proposal submission systems management. This position supports the overall advancement of the University's research enterprise.
Summary of Position Responsibilities
The Assistant Director has responsibility for preparing proposal submissions from faculty, staff, and students of the University, including determining if project proposals are consistent with the academic and research policies of the University. The position advises faculty, staff, and students on the development of project proposals, the interpretation and implementation of sponsor guidelines, and the proposal submission process. The position prepares proposal budget requests, assists faculty with the entry of relevant information into electronic research administration systems, reviews proposal components before submission, and prepares the proposals for final submission. They assist with the updating and processing of proposal documents (revised budgets, JIT, etc.) as needed, prior to full execution of an award. They interact and collaborate with the contracting and award management teams as well as with college and unit-based staff to support the successful life cycle of each funded project. Serves as an Authorized Organizational Representative ( AOR) for the university and facilities proposal review and submission. This position involves overseeing and directing the work of others and serves as a mentor for the ORS proposal development team, providing guidance and training on pre-award support. Serves as back-up to the Director of Proposal Development. The responsibilities include other duties as assigned in support of the overall goals of the unit.
Minimum Education/Experience

  • A bachelor's degree in an appropriate field;
  • Three years of pre-award experience.
  • The ability to prepare, analyze, and revise detailed proposal budgets,
  • The ability to interpret and apply agency guideline requirements and knowledge of federal funding regulations are required.

Preferred Education, Knowledge, Skills and Experience

  • Master's degree.
  • 5+ years of pre-award experience.
  • The ideal candidate will have exceptional customer service, interpersonal, communication, and motivational skills, and will have experience in the preparation, processing, and submission of grant and contract applications and proposals.
  • The applicant should also have experience in award negotiation and acceptance, and be familiar with regulations and requirements for a wide variety of extramural sponsors, including federal, state, and private agencies.
