The Private Grants Analyst plays a vital role in administering private grant awards. This position operates under the guidance of the Office of Advancement/NWACC Foundation's business manager. The primary responsibility of this role is to support the application, reporting, and financial processes of grant activities throughout the entire grant lifecycle. Their expertise is crucial for securing external funding, strategizing, executing projects, and effectively reporting on grant components. Additionally, the Private Grants Analyst fosters collaboration among team members by providing professional assistance.

Essential Duties

  • Review, proofread, and edit conceptual white papers, proposals, and reports.
  • Assist with narrative and financial grant reporting.
  • Organize and maintain comprehensive records of all grant applications, awards, and related correspondence.
  • Serves as key lead in monitoring and administering daily grant-related expense operations within Workday.
  • Evaluate and track specific supplementary terms and conditions associated with grant awards.
  • Support the establishment of the budget structure between the College's financial systems and the NWACC Foundation.
  • Utilize a project management tool to assist the business manager with tasks involving various stakeholders.
  • Promote cross-departmental initiatives by effectively collaborating with all grant leads.
  • Manage and respond to requests and inquiries from grantees and partners while providing exceptional customer service and timely follow-up.
  • Collaborate with grant leads and the Business Manager to create budget forecasts and monitor project milestones in accordance with grant provisions.
  • Monitor grantee fiscal performance and ensure timely spending.
  • Work closely with the Business Manager on cash balance forecasting, budget-to-actual comparisons, and overall cash flow for each grant.
  • Conduct monthly financial reporting alongside the Business Manager.
  • Assist in developing standard operating procedures.
  • Other duties as assigned.

Additional Functions

  • Ensure compliance with grant regulations and terms.
  • Prepare the necessary documentation and reports to support audits.
  • Identify potential risks associated with grant compliance and financial management, and implement control measures to mitigate those risks.
  • Assist in writing, reviewing, and editing grant proposals to enhance clarity, compliance, and competitiveness.
  • Research and identify new grant opportunities that align with organizational goals.
  • Track and monitor the financial and programmatic performance of subrecipients to ensure compliance.
  • Analyze grant-related financial data to discover trends, variances, and areas for improvement. Ensure all financial and programmatic requirements are met for grant closeout.
  • Facilitate proper documentation and reporting during the grant closeout process.
  • Foster communication with internal and external stakeholders to address grant-related questions and issues.

Minimum Qualifications

The formal education equivalent of a bachelor's degree in administration, accounting, finance, or a related field. At least 2 years of experience in grant administration is required.

Preferred Qualifications

Knowledge of and experience with Workday.

Rate of Pay $46,150 *Higher compensation may be considered based on qualifications directly related to position.

Knowledge, Abilities, and Skills

  • Exceptional attention to detail.
  • Strong interpersonal, writing, and communication skills.
  • Knowledge and experience in managing financial budgets.
  • High proficiency in Microsoft Office Suite and experience with Excel are required.
  • Ability to initiate, plan, and execute high-volume projects under tight deadlines.
  • Experience with private grants.
  • Experience using accounting software.
  • Preferred knowledge of Blackbaud Financial Edge, Raisers Edge, and Workday software.
