Overview
  • The College of Education and Human Services (CEHS) seeks a highly professional and experienced staff assistant to work in a team-based environment. This position requires a high level of confidentiality. The successful candidate will primarily assist with administrative tasks, clerical support, and day-to-day operations dealing with USU's teacher education programs, college graduation, and Utah State Board of Education educator licensure. This is a full-time position, Monday - Friday.

Responsibilities
Teacher Education:
  • Processes applications for students' admission into various education programs.
  • Records results of the security background clearances for each student's personal records.
  • Records and analyzes test scores (ETS, Pearson) for the students in all teacher education programs.
  • Assists students, staff, and superiors with Utah State Board of Education Comprehensive Administration of Credentials for Teachers in Utah Schools (CACTUS) database.

Recruiting Coordination:
  • Provides administrative support for all recruiting events and recruiting materials.
  • Coordinates ambassador participation in recruiting events including CEHS week activities.
  • Coordinates visits to concurrent enrollment classes.

Graduation:
  • May work independently to provide high-level administrative support to a large or complex program (e.g., degree completion audit).
  • Assists with the university and College of Education and Human Services graduation events.

Operations Support:
  • Assist dean's office staff with donor gifts and communications.
  • Help with Scholarship and Awards Banquet.
  • Document distribution through Box.
  • Role statement and annual review tracking and filing.
  • Newsletter and college ListServ recipient lists.
  • Order and manage inventory of Dean's office swag.
  • Sort and distribute mail.

Miscellaneous:
  • Composes and emails acceptance letters for students who are approved for and accepted into non-teaching programs/majors in CEHS.
  • Provides guidance and support to student workers.
  • Work with communications team to support social media content creation.
  • Other duties as assigned.


Qualifications
Minimum Qualifications:
  • Two years of experience in an office setting or an associate degree/vocational training is required.
  • Good understanding of the English language; excellent written communication skills, including spelling, grammar, and letter writing; excellent proofreading skills.

Preferred Qualifications:
  • Familiarity with USU's Banner system, Degree Works, Argos, Box.
  • High level of competence with Excel.

Knowledge, Skills, and Abilities:
  • Proficient computer skills using programs such as Microsoft Word, Excel, PowerPoint, etc.
  • Knowledge of or ability to learn specialized systems (electronic filing systems and database).
  • Exceptional customer service skills with ability to communicate in a professional manner.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to work with frequent interruptions, multi-task, and be self-motivated.
  • Attention to detail and high degree of accuracy.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
