Job Description

The Shipping Clerk plays a vital role in ensuring the smooth and efficient movement of raw materials and finished goods through the Hidalgo cross-dock. This position is responsible for overseeing inventory reconciliation, scheduling imports, and managing critical shipments to support operational demands. The role requires close coordination with buyers, logistics providers, and internal teams to resolve shipping challenges, process documentation, and facilitate seamless transportation. Strong attention to detail, organizational skills, and bilingual proficiency in English and Spanish are essential for effective communication with stakeholders and maintaining accurate shipping records. Additionally, the Shipping Clerk monitors high-priority shipments, escalates potential risks, and takes proactive measures to prevent delays, contributing to overall supply chain efficiency and customer satisfaction.

Job Responsibilities

  • Review and reconcile the daily inventory of raw materials and finished goods.
  • Schedule the daily import program for shipments to Mexico, including sprinter vans, box trucks, 53ft dry vans, and refrigerated trucks.
  • Monitor the "Hot List" for both Reynosa PMC & FC sites, ensuring expedited receiving to facilitate swift importation.
  • Track shipments at the cross-dock that have been there for more than one day, scheduling deliveries to terminals as needed.
  • For raw materials, communicate with buyers to resolve any outstanding issues preventing importation.
  • Request shipping instructions for all shipments without a predetermined shipping route.
  • Relay requests for route changes to the cross-dock provider and follow up until shipment pickup is confirmed.
  • Assist with premium freight pickups by monitoring progress and facilitating communication until pickup is confirmed for both finished goods and raw materials.
  • Schedule overtime at the cross-dock when necessary to support operational needs.
  • Maintain organized records of pickup confirmations for all shipments released from the cross-dock.
  • Perform data entry to match warehouse entries with their corresponding inbound deliveries.
  • Process ASNs for all finished goods shipments in SAP.
  • Follow up on shipments returned to the sender, coordinating necessary arrangements to ensure successful delivery to the customer.
  • Monitor and escalate critical shipments that may pose a risk to on-time delivery (OTD).
  • Carry out any additional tasks as assigned by the supervisor.

Background & Skills

Basic Qualifications

High School Diploma or GED
Bachelor's Degree (Preferred
Three (3) years experiernce in supply chain management or logistics

Experience with SAP or other ERP Systems; processing ASNs, invoices, inventory updates and shipment tracking
Experience with Shipping/Logistics procedures
Experience with inventory management
Experience with documentation and compliance
Experience with data entry and reporting
Experience with freight coordination; ability to schedule and manage shipments via different transportation modes (parcel, dry vans, refrigerated trucks, premium freight)
Bilingual Proficiency - English and Spanish
