Pay Range

$79,380 - $111,840 Annually

$79,380 - $97,200 Annually for the A01.1 Level

$91,320 - $111,840 Annually for the A01.2 Level

This is the lowest to highest salary in good faith we would pay for this role at the time of this posting. Pay will not be below any applicable local minimum wage. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.


Job Description

We have an opening for a US/UK Administrator to manage the daily business operations of the US/UK Office. You will serve as the primary administrative point of contact for all US/UK interactions between LLNL and the United Kingdom (UK) under the 1958 US/UK Mutual Defense Agreement (MDA). You will interact with LLNL management at all levels and external officials from offices that include Congressional, Military, Industrial, Academic, Foreign, DOE, and NNSA.This position is in the Strategic Deterrence (SD) Directorate.

This position may offer a hybrid schedule, which includes the flexibility to work from home one or two days per week, after a probationary period. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the team and the organization.

This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.

In this role, you will

  • Monitor the day-to-day operations of the US/UK Office, administrative processes, and activities and serve as a point of contact for administrative action items and requests.
  • Lead, participate and coordinate visits between LLNL and UK dignitaries, including verification of security clearances, preparation of agenda, badging, briefings, and tours.
  • Oversee workload leveling and coordination of tasks amongst the administrative team. Participate in training and career development and provide input on performance management to the administrative staff's supervisor(s).
  • Serve as a resource providing guidance on the interpretation and application of business policies, procedures, and practices and how they impact and apply to work under the 1958 MDA.
  • Be knowledgeable about JAEIG, DOD, NNSA, and UK policies that apply to US/UK collaborations.
  • Assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of UK and MDA-related inquiries.
  • Create and maintain databases, spreadsheets, the US/UK SharePoint, and other tracking and filing systems.
  • Serve on committees representing the US/UK Office.
  • Perform other duties as assigned.

In Addition at the A01.2 level:

  • Research, analyze, prepare, and assemble information and data from multiple and diverse sources; coordinate findings and other information with senior-level individuals, both internal and external to the Laboratory.
  • Assess business, operational and organizational requirements and deliverables and develop, approve and implement administrative and operational activities.

Qualifications
  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Excellent grammar, proofreading, editing, administrative and organizational skills, acute attention to detail with experience independently prioritizing multiple diverse and complex tasks for self and others in a multitasking environment of rapidly changing priorities, deadlines, and frequent interruptions.
  • Operational knowledge and experience planning and overseeing visits, meetings, conferences, and briefings requiring complex arrangements and multiple activities and details, involving participants from the most senior levels of the organization.
  • Experience interacting with all levels of personnel exercising a high degree of discretion, mature judgment, and tact in handling issues of a sensitive nature and demonstrated effective verbal, written and interpersonal communication skills necessary to effectively explain, present, direct, negotiate and influence others.
  • Demonstrated problem-solving and decision-making skills necessary to independently recommend and perform actions and solutions, frequently and on very short notice.
  • Effective communication skills necessary to explain, present, direct, negotiate, and influence the direction of projects.
  • Advanced knowledge of personal computers and associated software including MS Office applications and experience developing complex reports for use in management decision making.

In Addition, at the A01.2 level:

  • Experience representing management to diverse internal and external contacts, communicating management's direction.
  • Ability to work independently with the aptitude to assume responsibility and make decisions with minimal guidance within a multidisciplinary team.
  • Experience leading and overseeing a variety of cross-organizational and/or integrated projects, and experience researching, interpreting, and applying related policies and procedures, both internal and external to the Laboratory.

Qualifications We Desire:

  • Broad, institutional knowledge and understanding of the Laboratory's policies and procedures, including but not limited to, incoming/outgoing clearances, escorting, badging, catering, and tour requests.
  • Experience in a scientific or technical program which includes experience working in a classified environment.

Sensitive Compartmented Information Facilities requireseparate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
