Our hybrid model combines a mix of in-person at an AlixPartners office on Tuesday, Wednesday, and Thursday, with remote working options for Monday and Friday.Travel is part of this position, but the frequency may vary based on client, team, and individual circumstances.

What you'll do

The PMD Recruiting Coordinator reports to the Head of PMD Recruiting. The preferred location is Chicago, IL. Paid relocation is not available.



  • Ensure all scheduling activity is up to date and completed with appropriate rooms bookings made along with ensuring the meeting room calendar is up to date and free of scheduling conflicts.
  • Upload and amend job descriptions to the company ATS and file in a systematic manner.
  • Proactively track candidate Talent Insights (assessment) status, actively identifying obstacles or movement so the team can best manage the candidate and stakeholder experiences.
  • Assist team members with report production and analysis, and data collection and management.
  • Work with internal and external suppliers to ensure thorough preparation and the smooth running of events.
  • Create or co-create regular reports and agendas for internal stakeholder meetings, ensuring the reports and Greenhouse are aligned, identifying any gaps or action items, and pushing to-do and wins to the correct points of contact.
  • Capture and action requests for scheduling, problem solving when conflicts arise with a mind to the candidate and stakeholder experience, with an expeditious nature.
  • Partner with Administrative colleagues to coordinate schedules and ensure stakeholders are aligned - going the extra mile to make sure all parties are up to date, informed and have what they need including sending interview prep emails to candidates - interview schedule, locations, bios, etc.
  • May also participate in market mapping (research) and initial market outreach via LinkedIn and email to new prospects.

What you'll need



  • Bachelor's degree preferred. Relevant work experience may be considered in lieu of degree.
  • Minimum one (1) year of experience within a corporate or professional services setting.
  • Experience working with an ATS, HR, or CRM system preferred.
  • Problem solving - able to think "ahead of the ask" around conflicts, cancellations, candidate, and stakeholder experience, etc.
  • Excellent client-service orientation and experience demonstrating the ability to influence and successfully collaborate with a range of global stakeholders across a complex matrix.
  • Excellent organization and time management skills with the ability to prioritize tasks and adapt to changing circumstances.
  • Outstanding attention to detail and takes pride in documentation, working practices and strives for excellence.
  • Integrity and respect for confidentiality. Due to our client base and interaction with candidates, this is critical
  • Dedication to routine administrative tasks, combined with the energy and passion to complete jobs to a high standard and enthusiasm to develop your skills and take on ad hoc projects
  • Proficiency in MS PowerPoint, Word, and Excel; experience using project management tools or approaches helpful.
  • Effective written and verbal communication skills in English with the ability to present to stakeholders at all levels.
  • Ability to travel, as required.
  • Core working hours are generally 8:30 AM - 5:30 PM, Monday - Friday; willingness to work outside of normal U.S. business hours, and as unique projects/needs arise.
  • Ability to work full time in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday.
