Join AIR as an Operations Specialist with AIR's Legal Office. In this pivotal role, you will provide support to the Chief Legal Officer and play a key part in managing the operations of AIR's legal department. This position reports to the Chief Legal Officer.

This is a hybrid position requiring candidates to work from AIR's Arlington VA office.

Responsibilities:

  • Manage the archive of corporate and other legal records.
  • Support corporate governance and the Chief Legal Officer's role as corporate secretary in handling board records, documents, policies, and communications.
  • Track engagement of outside counsel.
  • Process purchase orders and invoices for outside counsel services and ensure compliance with billing guidelines.
  • Maintain the legal team's webpage on the intranet.
  • Manage scheduling for the Legal Office, preparation of expense reports, and occasional document production.
  • Report claims to insurers and assists with tracking insurance coverage.
  • Track pending litigation and claims.
  • Process garnishments, subpoenas, and similar orders.
  • Support conflict of interest reviews and other compliance activities.
  • Manage projects for the legal function such as updates to required training on compliance topics and updates to templates and standard documents.
  • Duties, responsibilities, and activities may change, or new ones may be assigned at any time based on organizational needs.


Qualifications:

Education, Knowledge, and Experience:



  • Bachelor's degree and/or equivalent of at least 4 years of relevant experience; demonstrated capability considered.
  • Demonstrated experience in handling confidential information with the utmost discretion and professionalism, along with proven expertise in managing and working with legal content to ensure compliance and accuracy.


Skills:



  • Excellent interpersonal skills to ensure effective communication and ability to work with and respond to inquiries from internal staff members at all levels as well as external partners.
  • Exhibited flexibility and adaptability while collaborating with different teams and consistently delivering high-quality output amidst evolving priorities.
  • Strong attention to detail and commitment to accuracy in writing and record maintenance, coupled with excellent organizational skills to manage multiple activities with tact, confidentiality, and diplomacy.
  • Proven ability to work independently and collaboratively, prioritizing multiple objectives and projects to consistently meet established timelines in a fast-paced environment.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Teams, Zoom, and other web platforms.

Salary offers are made based on internal equity within the institution and external equity with competitive markets. Please note this is the annual salary range for candidates that are based in the United States.
